We are seeking a Data Manager for a nonprofit organization who will be responsible for the administration, optimization, and strategic development of the organization’s data management ecosystem. This role oversees client, program, and philanthropic data across the full data lifecycle, with a focus on data integrity, privacy, secure handling, and accurate reporting. Working closely with program leadership and the Chief Operating Officer, the Data Manager supports the transition from traditional quantitative tracking to outcome-driven program evaluation and design. The position ensures that online data management platforms are intuitive, user-friendly, and capable of producing high-integrity insights that support service delivery, meet funder requirements, and strengthen public-facing impact narratives. Please note that this agency works in the field of domestic abuse, and the role requires the ability to work in intimate partner violence, sexual assault, and stalking fields on a day-to-day basis.
Responsibilities:
- Direct the administration and continuous improvement of online data management platforms to support efficient organizational workflows.
- Partner with senior and executive leadership to design and implement evaluative frameworks that measure long-term program efficacy and client impact.
- Maintain data privacy, security, and confidentiality standards so that all reporting meets or exceeds legal and funder-mandated requirements.
- Serve as a strategic link between technical systems and program staff to promote a user-friendly data culture that supports timely service delivery and informed decision-making.
- Transform complex datasets into actionable reports that inform philanthropic, outreach, and agency growth initiatives.
- Lead and support data collection efforts focused on data evaluation and program outcomes.
- Develop secondary protocols to capture critical data points beyond standard software constraints.
- Lead and deliver training so staff and volunteers are proficient in agency digital platforms, secure data handling, and best practices.
- Provide ongoing technical support and troubleshooting to ensure consistent and effective platform use.
- Develop, implement, and continuously improve data management processes and standards to enhance data integrity, optimize reporting capabilities, identify donor trends, and support data-driven fundraising strategies.
- This role will have no direct reports.
Must-Have Qualifications:
- Bachelor\'s degree or an equivalent combination of education, certifications, and relevant experience.
- 3+ years of experience in data management, reporting, analytics, database administration, or business systems support.
- Experience managing and maintaining databases, CRM platforms, donor databases, case management systems, or other enterprise data systems.
- Strong experience with reporting, dashboard development, data visualization, data quality management, and translating data into actionable business insights.
- Experience creating reports and ad hoc analyses using tools such as Excel, SQL, Power BI, Tableau, Oracle reporting tools, or similar business intelligence and analytics platforms.
- Advanced Microsoft Excel skills, including working with large datasets, data validation, analysis, and reporting.
- Experience writing or working with database queries and extracting data from multiple systems for reporting and evaluation purposes.
- Ability to maintain data integrity, ensure accuracy, and support organization-wide reporting and program evaluation efforts.
- Experience training, supporting, and collaborating with end users, stakeholders, and non-technical teams across multiple locations.
- Strong communication and stakeholder management skills with the ability to explain technical concepts to non-technical audiences.
- Experience working with confidential, privacy-sensitive, or regulated data, with a strong understanding of secure data handling practices.
- Ability to travel throughout the San Diego area up to 20% of the time to support multiple sites and stakeholders.
Preferred Qualifications
- Experience in nonprofit, social services, healthcare, community services, or other mission-driven organizations.
- Experience administering donor management, fundraising, CRM, or case management systems, including tools such as DonorPerfect, ETO (Efforts to Outcomes), Salesforce, Raiser\'s Edge, or similar platforms.
- Experience supporting fundraising analytics, donor reporting, and data-driven decision-making.
- Experience with business intelligence, advanced reporting, data warehousing, ETL processes, or data integration projects.
- Experience implementing, migrating, or optimizing software systems and databases.
- Familiarity with Power BI, Tableau, SQL, Oracle reporting tools, or comparable analytics and visualization platforms.
- Bilingual language capabilities (written and oral).
Technical Environment
The organization currently utilizes systems including Efforts to Outcomes (ETO), DonorPerfect, Microsoft Excel, and other reporting and database platforms. Candidates do not need experience with every system listed. We welcome professionals from a variety of CRM, database, donor management, case management, and business intelligence environments, as transferable experience can be applied and system-specific training will be provided where needed.
Must maintain personal cell phone for work-related purposes. Working conditions may include possible exposure to communicable diseases related to those typically found in social service settings. The incumbent must reside in California and within 75-mile radius of the City of San Diego.
