Job summary

MXI Partners in Herndon, VA is seeking a Procurement & Contracts Manager to own the full lifecycle of procurement and contracts across our commercial construction portfolio. You will source, negotiate with vendors, and oversee subcontract execution from bid day through project close-out.

Qualifications

  • Bachelor's degree in Construction Management, Supply Chain Management, or Business Administration (MBA a plus).
  • 5-7+ years of procurement and contract management experience in commercial construction or general contracting.
  • Valid driver's license.
  • Preferred certifications: CPPO, CPSM, CCM, CCCM, or PMP.
  • A calm, focused presence under pressure with strong leadership and discretion.

Responsibilities

  • Lead full procurement process: RFPs, RFQs, bid leveling, vendor qualification, and subcontractor selection with PMs.
  • Negotiate with suppliers and subcontractors to secure best value on pricing, delivery, and terms.
  • Draft, review, and execute subcontractor, supplier, and vendor agreements; involve legal for non-standard terms.
  • Manage bid and proposal processes for commercial and government contracts; ensure compliance with essential terms.
  • Own the contract lifecycle from execution through close-out: changes, renewals, amendments, lien releases.
  • Monitor performance against contract terms and resolve issues to prevent disputes.

Job description

We're looking for a Procurement & Contracts Manager to own the full lifecycle of procurement and contracts across our commercial construction portfolio — from sourcing and vendor negotiation to subcontract execution and post-award compliance.

This is a dual-function, senior role at the center of the action. You'll be the connective tissue between project management, operations, finance, and legal — protecting our interests from bid day through project close-out.

What You'll Do:
Procurement & Sourcing
  • Run the full procurement process — RFPs, RFQs, bid leveling, vendor qualification, and subcontractor selection — in close coordination with Project Managers, Superintendents, and Estimators
  • Negotiate with suppliers, subcontractors, and service providers to secure the best value on pricing, delivery, and terms
  • Build and manage project-specific procurement schedules and budgets, tracking spend and reporting variances
  • Monitor material markets and supply chain risk, and get ahead of cost escalation, shortages, and delays
  • Guide equipment purchase-vs-lease decisions and coordinate delivery logistics
Contract Preparation & Execution
  • Draft, review, and execute subcontractor, supplier, and vendor agreements — clear, compliant, and aligned to scope and prime contract terms
  • Manage bid and proposal processes for commercial and government contracts, looping in legal counsel on complex or non-standard terms
  • Ensure every contract covers the essentials: scope, payment terms, milestones, insurance, bonding, lien waivers, and dispute resolution
  • Collect and verify onboarding documentation (COIs, W-9s, bonding, certified payroll)
Contract Administration & Compliance
  • Own the contract lifecycle from execution through close-out — change orders, renewals, amendments, and final lien releases
  • Be the go-to point of contact for clients, subcontractors, suppliers, and government agencies on contract matters
  • Monitor performance against contract terms and resolve issues (or disputes) before they become problems
  • Conduct contract audits, support compliance reporting, and keep records organized and audit-ready
What You Bring
  • Bachelor's degree in Construction Management, Supply Chain Management, or Business Administration (MBA a plus)
  • 5-7+ years of progressive procurement and contract management experience in commercial construction or general contracting
  • Valid driver's license
  • Preferred certifications: CPPO, CPSM, CCM, CCCM, or PMP
  • A calm, focused presence under pressure, with strong leadership and self-starter instincts
  • Discretion and professionalism in handling confidential and sensitive matters
