POSITION: Community Program Associate

REPORTS TO: Community Programs Director

HOURS: An average of 20 hours per week. Weekday mornings/afternoons required. Ideal schedule Tuesday-Thursday 8:30am-3:00pm

WORKPLACE: In Person at the Dancewave Center located at 182 4th Avenue, Brooklyn, NY, 11217. Occasional remote shifts may be scheduled as needed.

HIRING TIMELINE: Selected applicants will be invited to participate in a Zoom interview with members of the hiring team anticipated March 10 - 27th

JOB DESCRIPTION: Dancewave is seeking an Community Programs Associate to support the daily operations for our Community Programs team in our signature residency programs held in NYC schools, Older Adult Centers, Community Centers, and more, across all 5 boroughs. The Community Programs Associate will work closely with the Community Programs Manager to ensure smooth and efficient implementation of our residency programs through support with contracting, data tracking, outreach, teaching artist management, and payroll. The Community Programs Associate will work closely with the Community Programs Manager and Director on a regular basis as well as independently. This part-time, in person position is ideal for someone interested in gaining experience with youth and adult program management, arts administration, customer service, calendar management, and data tracking.

Responsibilities
  • Front Desk Management
    • Customer service support including answering phones, visitor check in and general in-person inquiries
    • Payment Processing using Square POS, & HiSawyer online platform
    • Facility support including organizing inventory/storage, and light studio and facility cleaning as needed
    • Studio support including assisting Renters & Teaching Artists with technical needs, separating/opening the studio curtains
    • Opening and closing the facility
  • Program Management
    • Support with Teaching Artist and Partner site communication and contracting
    • Coordinate agreements for teaching artists and partner sites for upcoming residency programs, and ensure timely receipt of signed agreements
    • Coordinate Teaching Artist calls for availability, schedules, and organize responses for team review via email
    • Schedule meetings as needed for multiple stakeholders, including CP Manager, Director, Teaching Artists, and partner site personnel
    • Conduct site visits and attend residency dates/ performances on an as-needed basis
  • Data Entry and Tracking
    • Input and maintain accurate and up to date data for active programming
    • Support regular review and updates for historical program data
    • Support Director of Community Programs with data collection and tracking for contributed income and funding requests
  • Administrative Support
    • Attend weekly team meetings (Virtual)
    • Support coordination of monthly Payroll
    • Support Director of Community Programs with payment tracking for contracted services
    • Research potential partnerships and support external outreach efforts on a yearly basis
    • Assist in creating presentation materials and collateral for meetings with various stakeholders
    • Support annual planning process with Community Programs Director, Community Programs manager, and Managing Director
Position Requirements
  • Must have access to a laptop with capability for Google Suite and Zoom
  • Must be able to work in person at the Dancewave Center, including occasional weekends and special events
  • Must be at least 18 yrs of age.

Knowledge, Skills and Abilities Needed
  • At least one year of experience working in an educational, artistic, or administrative setting, with a preference for dance education and/or at least one year of experience providing direct customer service
  • Strong written, verbal and interpersonal communication skills
  • Ability to communicate with a wide range of stakeholders
  • Organized and agile problem solver, comfortable with working in a fast-paced environment
  • Great attention to detail
  • Interest in Dancewave’s mission and commitment to empowering movers of all ages
  • Proficiency with Google Suite (G-Mail, Docs, Cal, Drive, Meet, Forms, Maps)
  • Proficiency or familiarity with Canva and Google sheets/ Excel is a plus

Compensation and Benefits

The hourly rate of $20.00 is aligned with the organization’s current compensation structure and will be the final offer for the successful candidate for this position.
