Job summary

Ovivo Ultra Pure Water+ by Ecolab in Dallas, TX seeks an Office Administrator to provide administrative and operational support for the Dallas Fab Shop. The role focuses on coordinating across departments, maintaining records, and ensuring efficient office operations.

The ideal candidate is highly organized with at least 3 years of related experience, proficient in Word, Excel and PowerPoint, and able to manage multiple tasks with sound judgment. Onsite role with minimal travel.

Qualifications

• High school diploma or equivalent.
• Minimum three (3) years of directly related administrative experience in a production/manufacturing/design/engineering environment.
• Proficiency with Microsoft Office applications including Word, Excel, and PowerPoint.
• Ability to manage multiple tasks simultaneously and establish priorities with accuracy.
• Demonstrated ability to exercise independent judgment in job responsibilities.

Responsibilities

• Organize and prioritize daily work activities.
• Type, format, and prepare reports, correspondence, memos, and other documents.
• Coordinate with departments to ensure documentation is complete and accurate.
• Maintain regular communication with key personnel across departments and locations.
• Maintain filing systems and department databases.
• Submit and track project time reports.
• Assist finance with approvals and vendor invoice records.
• Solicit pricing quotations and prepare material request docs.
• Enter material request info into Syteline and prepare purchase orders.
• Assist with special projects and maintain office supplies.
• Prepare envelopes and packages for shipment.
• Adhere to safety procedures and maintain a clean workspace.
