• Previous veterinary reception, medical reception, or customer service experience preferred.
• Specialty or referral veterinary experience is a plus.
• Comfortable managing multi-line phones, detailed scheduling, and high-volume client interactions.
• Strong organizational skills and attention to detail.
• Ability to remain calm, professional, and compassionate in a fast-paced environment.
• Excellent communication skills and a client-focused mindset.
• Ability to collaborate effectively with multiple departments and veterinary specialists.
• Passion for providing exceptional service to pets, clients, and hospital teams.
• Fluent English speaking and reading skills required.

Responsibilities

• Provide exceptional client service as the first point of contact for patients, clients, and referring veterinary teams.
• Answer high-volume phone calls and route communications appropriately.
• Schedule new patient consultations, follow-up appointments, and specialty visits.
• Coordinate appointment flow across multiple specialty departments and veterinary specialists.
• Assist with patient check-outs and discharges while providing compassionate client support.
• Review, organize, and manage medical records and referral information.
• Communicate appointment details, visit expectations, and care plan information with clients.
• Support specialty teams by maintaining accurate records and efficient front desk operations.
• Provide professional, friendly service both in person and over the phone.
• Collaborate with veterinary teams to ensure a positive client and patient experience.
