Job summary

Qualifications

  • High school diploma or equivalent required.
  • Two or more years in customer service, customer support, administrative support, inside sales support, logistics, or related roles.
  • Experience with ERP/CRM/order management systems preferred.

Responsibilities

  • Serve as a primary point of contact for customers by phone and email, providing professional, courteous, and timely support.
  • Process customer orders accurately using company systems.
  • Review customer orders for completeness, pricing, product information, and accuracy before processing.
  • Maintain accurate customer records, order documentation, and related files.
  • Communicate order status, shipment updates, and product availability to customers.
  • Coordinate with Sales, Warehouse, Purchasing, and Operations to ensure timely order fulfillment.
  • Investigate and resolve customer questions, concerns, and order discrepancies with care.
  • Prepare reports, spreadsheets, and supporting documentation as requested.
  • Support departmental administrative functions and continuous improvement initiatives.

Position Summary

The Customer Service Representative serves as a primary point of contact for customers while supporting accurate order processing and day-to-day operational activities. This position delivers exceptional customer service through timely communication, order coordination, problem resolution, and collaboration with internal departments. The Customer Service Representative ensures customer information, orders, and related documentation are accurate while helping maintain efficient business operations and a positive customer experience.

Essential Functions and Responsibilities

The essential functions include, but are not limited to, the following.

  • Serve as a primary point of contact for customers by phone and email, providing professional, courteous, and timely support.
  • Process customer orders accurately and efficiently using company systems.
  • Review customer orders for completeness, pricing, product information, and accuracy before processing.
  • Maintain accurate customer records, order documentation, and related files.
  • Communicate order status, shipment updates, product availability, and other order-related information to customers.
  • Coordinate with Sales, Warehouse, Purchasing, and Operations to ensure timely and accurate order fulfillment.
  • Investigate and resolve customer questions, concerns, and order discrepancies while maintaining a high level of customer satisfaction.
  • Follow up with customers and internal departments when additional information or clarification is required.
  • Utilize Microsoft Excel, Outlook, ERP software, and other company systems to manage customer information and workflow.
  • Prioritize multiple customer requests while maintaining exceptional accuracy and attention to detail.
  • Prepare reports, spreadsheets, and supporting documentation as requested.
  • Support departmental administrative functions and special projects.
  • Maintain confidentiality of company, customer, and proprietary information.
  • Identify opportunities to improve customer service processes and communicate recommendations to management.
  • Participate in required meetings, training, and professional development activities.
  • Perform other job-related duties as assigned.

Required Qualifications

Education

  • High school diploma or equivalent required.
  • Associate degree or additional coursework in business, customer service, or a related field is preferred.

Experience

  • Two or more years of experience in customer service, customer support, administrative support, inside sales support, logistics, order processing, operations, or a related role. \

Knowledge and Skills

Technology

  • Proficiency with Microsoft Excel, Microsoft Outlook, and Microsoft Teams.
  • Ability to learn ERP systems, CRM software, order entry systems, and other business applications.
  • Strong keyboarding and computer navigation skills.

  • Completion of a working interview may be required as part of the hiring process.
  • Ability and willingness to travel for required training, which may include approximately 2 weeks or more annually at a company-designated training location such as Livermore, Houston, or another company location based on business needs.

Preferred Qualifications

  • Experience supporting manufacturing, industrial distribution, or wholesale environments.
  • Experience with ERP software and order management systems.
  • Experience coordinating customer orders, shipping, inventory, or logistics activities.
  • 401(k): Eligible to enroll after 90 days of employment.
  • Medical, Dental, and Vision Insurance: Available to full-time employees after 60 days.
  • Paid Time Off (PTO): 2 weeks. Begins accruing after 6 months of employment.
  • Sick Leave: Provided in accordance with applicable state and local laws.
