Qualifications

Responsibilities

  • Answer incoming calls and emails promptly, professionally, and with a helpful, solutions-oriented approach.
  • Identify customer needs, questions, and concerns, then provide accurate answers.
  • Build professional relationships with customers through proactive communication and follow-through.
  • Handle customer concerns with patience, empathy, and ownership, keeping customers updated through resolution.
  • Enter customer orders accurately and verify pricing, shipping, and account details.
  • Respond to questions on order status, product availability, lead times, shipping, and delivery expectations.
  • Monitor open issues and follow up until each item is resolved.
  • Maintain accurate records in NetSuite or other company systems.
  • Collaborate with Sales, Purchasing, Operations, Shipping to resolve needs.
  • Identify potential sales opportunities and route to sales team.
  • Provide feedback to leadership on issues and service improvements.
  • Participate in training to strengthen customer support.
  • Support team goals for responsiveness and satisfaction.
  • Help grow the business as SPC expands.

Role Description:

The Customer Service Representative is a key part of the SPC customer experience. This role serves as a trusted point of contact for customers, helping them place orders, resolve questions, navigate delivery timelines, and get the support they need quickly and accurately. You will work closely with Sales, Operations, Purchasing, Shipping, and other internal teams to keep orders moving and customers informed.

This is more than a call-handling position. The right person will take ownership, anticipate needs, solve problems, and build lasting customer relationships. Success requires a positive attitude, strong attention to detail, excellent communication, and the ability to stay organized in a fast-paced environment where responsiveness matters.

Key Responsibilities:
Customer Communication & Relationship Support
  • Answer incoming calls and emails promptly, professionally, and with a helpful, solutions-oriented approach.
  • Identify customer needs, questions, and concerns, then provide accurate answers or connect the customer with the appropriate resource.
  • Build professional relationships with customers through proactive communication, reliability, and consistent follow-through.
  • Handle customer concerns with patience, empathy, and ownership, keeping customers updated through resolution.
Order Entry & Customer Coordination
  • Enter customer orders accurately and efficiently, verifying product, pricing, shipping, and account information.
  • Respond to questions regarding order status, product availability, lead times, shipping, and delivery expectations.
  • Monitor open issues and follow up with customers and internal teams until each item is resolved.
  • Maintain accurate customer, order, and communication records in NetSuite or other company systems.
Problem Solving & Cross-Functional Collaboration
  • Partner with Sales, Purchasing, Operations, Shipping, and other departments to resolve customer needs and prevent delays.
  • Recognize potential sales opportunities and route qualified inquiries to the appropriate sales team member.
  • Communicate emerging customer issues, recurring questions, and service improvement opportunities to leadership.
  • Follow company procedures and service standards while using sound judgment to create the best possible customer outcome.
  • Participate in product, systems, and process training to strengthen your ability to support customers.
  • Contribute to team goals for responsiveness, order accuracy, issue resolution, and customer satisfaction.
  • Support additional customer service and business needs as the company continues to grow.
Qualifications:
Required:
  • High school diploma or equivalent.
  • 2+ years of customer service, order entry, sales support, or related experience.
  • Excellent verbal and written communication skills, including professional phone and email communication.
  • Strong active listening, problem-solving, and interpersonal skills.
  • High attention to detail and a track record of accurate data or order entry.
  • Ability to prioritize, multitask, and follow through on multiple customer requests at once.
  • Proficiency with Microsoft Office, including Outlook and Excel.
  • Positive, dependable, team-oriented work style with a genuine desire to help customers.
Preferred:
  • Experience using NetSuite, an ERP system, or a CRM platform.
  • Experience working with purchase orders, shipping information, product availability, or order status inquiries.
  • Experience supporting customers in distribution, manufacturing, telecom, fiber optics, electrical, or another technical industry.
