Job summary

Pawnee Mental Health Services in Kansas is seeking a friendly, detail-oriented receptionist to warmly greet visitors and respond to inquiries, guiding them to the right staff and services.

You will manage appointment scheduling, collect payments where applicable, balance cash receipts, and perform general clerical tasks while supporting a team dedicated to helping individuals and families facing mental health and substance use challenges.

Responsibilities

  • Greet the public in person and on the telephone in a professional and hospitable manner.
  • Communicate Pawnee payment policies and collect payments, verify demographic information, obtain required paperwork, set up for Zoom appointments, and scheduling or cancelling appointments and ensuring questions reach the right staff.
  • Monitor clients in waiting areas and report any concerns to Office Supervisor.
  • Balance the cash receipts as scheduled and report variances to Office Supervisor.
  • Perform general clerical duties such as typing correspondence, processing mail, photocopying and scanning documents, reviewing the next day’s schedule and preparing required paperwork for each client, scheduling meeting rooms and company cars, and coordinating contractors as needed.
  • Cooperate as an active member of the support staff team and participate in cross training to help manage fluctuating workloads or staff shortages.
  • Maintain and advance personal knowledge and skills related to position or field by reviewing pertinent materials or training events as approved by supervisor.
  • Adhere to the standards, policies and instructions established by PMHS Policy and Procedure and applicable ethical codes.
  • Review and comply with the Pawnee Code of Conduct outlined in the Employee Handbook.
  • Perform other reasonably related duties as assigned by immediate supervisor or management personnel.

What You'll Do

  • Provide support to clients by communicating Pawnees payment policies and collecting payments, verifying demographic information, obtaining required paperwork, setting up for Zoom appointments, cancelling/scheduling appointments and ensuring all questions or concerns are directed to the appropriate staff.
  • Monitor clients in the waiting areas and report any concerns to Office Supervisor.
  • Balance the cash receipts as scheduled. Report variances to Office Supervisor.
  • Perform general clerical duties such as typing correspondence, processing mail, photocopying and scanning documents, reviewing the next days schedule and prepare the required paperwork for each client, scheduling meeting rooms and company cars, and scheduling contractors as either required for assigned office or upon request.
  • Cooperate as an active member of the support staff team and participate in cross training to help control fluctuating workloads or staff shortages. This may include temporary assignment to other agency offices, within reason.
  • Maintain and advance personal knowledge and skills related specifically to position or to field of work by regular reviewing pertinent materials or participating in training events as approved by supervisor.
  • Adhere to the standards, policies and instructions established by PMHS Policy and Procedure and any applicable ethical codes within field of employment.
  • Review and comply with the Pawnee Code of Conduct outlined in the Employee Handbook.
  • Perform other reasonably related duties as assigned by immediate supervisor or other management personnel.
