Tree Top Staffing is recruiting a Customer Operations Coordinator for a full-time opportunity with an established precision manufacturing organization in Rockford, Illinois.
The Customer Operations Coordinator is responsible for managing the day-to-day execution of customer orders from receipt of the purchase order through completion and shipment. This individual serves as a critical link between customers and internal teams, including Sales, Engineering, Operations, and Shipping, to ensure customer requirements are accurately entered, communicated, and fulfilled in a timely manner.
This is more than a traditional order-entry position. The ideal candidate is highly organized, exceptionally detail-oriented, proactive, and comfortable taking ownership of multiple customer orders and priorities at the same time. Strong customer service, order-management, problem-solving, and cross-functional communication skills are essential.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Process customer purchase orders accurately and provide timely order confirmations
- Serve as a primary point of contact for customers from receipt of the purchase order through completion and shipment
- Provide timely, professional responses to customer questions, requests, and order-status inquiries
- Release and maintain work orders within the ERP system to fulfill customer requirements
- Review released engineering drawings and create, enter, and maintain Bills of Material (BOMs) based on information provided by Engineering
- Process Engineering Change Notices (ECNs), including updates to BOMs, component revisions, affected sales orders, documentation, and approval routing
- Coordinate with Operations on work orders for repairs or replacement of scrapped components
- Release work orders to replenish stock inventory as required
- Monitor and track customer jobs throughout the manufacturing process, identify potential delays, and help expedite orders when necessary
- Coordinate with Sales, Engineering, Operations, Shipping, and other departments to support accurate and timely order fulfillment
- Maintain accurate customer, order, BOM, work-order, and related documentation within the ERP system
- Prepare general customer quotes using established pricing and applicable customer discounts
- Enter quotations for custom fixtures using pricing and technical information supplied by internal resources
- Proactively identify issues, gather information, determine appropriate next steps, and elevate technical questions when necessary
- Manage multiple orders, deadlines, priorities, and customer requests while maintaining exceptional accuracy and follow-through
- Take initiative and ownership of responsibilities with limited day-to-day oversight
- Perform other duties and responsibilities as assigned

Ensure customer purchase orders are processed completely, accurately, and efficiently.
Work Order Execution
Ensure work orders are released and maintained appropriately to fulfill customer requirements.
Provide timely, professional, customer-focused communication throughout the order lifecycle.
QUALIFICATIONS & REQUIREMENTS:
- High school diploma or GED required
- Associate degree or additional coursework in business, manufacturing, supply chain, or a related field preferred
- Previous experience in customer service, order management, sales support, customer operations, or a similar role strongly preferred
- Previous manufacturing experience preferred
- Basic understanding of manufacturing processes preferred
- Previous experience with an ERP or manufacturing business system preferred
- Global Shop experience is beneficial but not required
- Previous workholding or tooling experience is not required; technical product knowledge can be developed through training and support from the internal team

WHAT SUCCESS LOOKS LIKE:
A successful Customer Operations Coordinator will become the trusted owner of the day-to-day customer order process. This individual will ensure orders are entered accurately, work orders are released on time, ERP information remains current, customers receive timely responses, and potential issues are addressed before they negatively affect delivery.
As proficiency develops, the individual should require progressively less day-to-day direction and independently manage routine customer and order-management responsibilities while maintaining strong accuracy, responsiveness, and follow-through.
