Job description

Customer Service Coordinator

Mint Hill, NC | Inpro WT

Are you the person customers remember because you made things easier?

At Inpro WT, we believe exceptional customer service is more than answering a phone call or processing an order. It's about taking ownership, solving problems, building trust, and making sure our customers know they have someone in their corner.

We're looking for a Customer Care Coordinator who brings energy, integrity, attention to detail, and a genuine passion for helping people. This is a primarily in-office role where you'll be at the center of the customer experience-connecting customers with the products, information, and internal resources they need to keep their projects moving.

If you're proactive rather than reactive, thrive in a fast-paced environment, and take pride in doing things right, we want to meet you.

What You'll Do

Be the Voice of the Customer

You’ll be a trusted point of contact for customers by phone, email, and in person.

  • Respond promptly and professionally to customer questions about products, pricing, quotes, orders, billing, shipments, service, quality, and project status.

  • Build strong customer relationships through responsiveness, reliability, and clear communication.

  • Listen carefully to understand what the customer really needs-not just what they initially ask for.

  • Keep customers informed and set clear expectations throughout the process.

Own the Solution

When a customer has a problem, you won't simply pass it along.

You’ll take ownership, identify the right resources, and coordinate solutions across the organization.

  • Proactively identify potential issues before they become customer problems.

  • Partner with Technical Support, Engineering, Operations, Production, Finance, Shipping, and other teams to resolve concerns.

  • Communicate changes to product availability, lead times, production schedules, project requirements, and other factors that may impact an order.

  • Follow through until the issue is resolved and the customer knows what to expect.

Keep Projects Moving

From the first quote to the final shipment, you’ll help make sure the details are right.

  • Prepare accurate and timely quotations, bids, product recommendations, and technical solutions.

  • Enter, update, and maintain customer orders with a high degree of accuracy.

  • Coordinate orders and projects from quotation through shipment.

  • Manage customer account, project, quotation, and order documentation.

  • Coordinate product samples so customers have what they need to make informed decisions.

  • Support new account setup, credit applications, RGAs, quality cases, and other customer account activities.

Become a Product Resource

You don't have to know everything on day one. You do need to be willing to learn.

You'll develop a strong understanding of Inpro WT products, applications, processes, and solutions so you can confidently help customers select the right products for their needs.

You’ll become someone customers can turn to for answers-not just someone who takes their order.

What We're Looking For

We're looking for someone who brings ownership, perseverance, integrity, passion, trust, and excellence to the job.

You’ll be a great fit if you:

  • Have at least 1 year of B2B customer service experience involving phone, email, and in-person interaction.

  • Communicate clearly, professionally, and confidently.

  • Have a high school diploma, HSED or GED

  • Have a positive attitude and genuinely enjoy helping customers.

  • Take initiative and look for ways to solve problems before being asked.

  • Are highly dependable and follow through on commitments.

  • Have strong attention to detail and a sense of urgency.

  • Can prioritize multiple customers, orders, projects, and deadlines.

  • Are comfortable working independently while also collaborating with a team.

  • Have strong organizational skills, particularly when managing emails, files, and customer information.

  • Are eager to learn new products, systems, and processes.

  • Represent yourself and Inpro WT with professionalism, integrity, and enthusiasm.

Most importantly, you believe great customer service isn't reactive-it's proactive.

Why You'll Love This Role

This is an opportunity to become an important part of a team where what you do matters.

You’ll interact with customers every day, work alongside teams across the organization, learn products and processes, solve real problems, and have the opportunity to make a measurable difference in the customer experience.

At Inpro WT, we don't just talk about our values-we put them into action:

Ownership - You take responsibility and pride in your work.

Perseverance - You stay the course when things get challenging.

Integrity - You do the right thing, even when no one is watching.

Passion - You bring energy and enthusiasm to your work.

Trust - You build relationships through reliability and openness.

Empowerment - You take initiative and help others succeed.

Excellence - You care about getting the details right.

Community - You support your coworkers and customers like family.

Work Environment & Physical Requirements

This is a primarily in-office position.

The role regularly involves sitting, communicating by phone and in person, using computers and keyboards, reaching, kneeling, and retrieving items from low shelves or elevated storage. The position requires close vision for computer work and may involve lifting up to 30 pounds.

Reasonable accommodations may be provided to enable individuals with disabilities to perform the essential functions of the position.

Ready to Make a Difference?

If you're someone who believes "customer service" means taking ownership from start to finish, we'd love to hear from you.

Bring your energy. Bring your curiosity. Bring your commitment to doing things right.

Join Inpro WT and help us create an exceptional customer experience-one customer, one project, and one solution at a time.
