Job summary

The Oklahoma State Department of Health is seeking a Part Time Customer Assistance Representative III to support county health services. Responsibilities include client registrations, processing WIC benefits, answering phones, scheduling, data entry, and handling billing information and payments.

Interacting with multiple departments, you will use Medicaid tools to check eligibility and assist with online applications while maintaining records and preparing reports in a climate-controlled office

Qualifications

  • One year of experience in clerical office work plus one year of experience in customer service.
  • Ability to read and interpret laws; communicate effectively, both orally and in writing.
  • Knowledge of office practices; accounting principles; and business arithmetic.
  • Willingness to travel occasionally for job requirements.

Responsibilities

  • Handle client registrations for the county health department.
  • Process WIC benefits, answer phones, schedule appointments, perform data entry and provide general information.
  • Collect and enter billing information; document payments.
  • Maintain client records and prepare program reports.
  • Access Medicaid on the Web to look up eligibility or apply for coverage.
  • Maintain inventories, reconcile records, and prepare correspondence and reports.
  • Sort, file, open and distribute mail; support other duties as assigned.

This includes collecting all pertinent demographic and billing information from clients, answering phones, filing, appointment scheduling, data entry and responding to customer questions and needs.Position Responsibilities/Essential Functions:This position is the frontline for customer service and our clients. Is responsible for all client/patient registrations for the county health department. The position is also responsible for processing WIC benefits, answering telephones, working, and coordinating with other departments, collecting, and entering billing information, accepting, and documenting payments. Other tasks include light typing assignments, scheduling appointments, providing general information to the public, filing, and maintaining client records, filing and preparation of program reports. This position will access the Oklahoma Health Care Authority Medicaid on the Web daily to look up Medicaid eligibility for patients or completing the online application for new coverage or to reinstate expired coverage for families or individuals. Maintains a variety of records such as perpetual inventories of supplies and materials, and statements of expenditures; reconciles departmental records with central records; prepares correspondence, forms, and reports.Initiates and handles correspondence relating to a special field or program regarding agency or program rules, policies, procedures, or requirements.Performs a variety of sorting and filing tasks; answers the phone, takes messages, and disseminates information; opens, sorts, distributes, collects, and delivers mail; performs several tasks such as posting and recording data.Enters and retrieves information using personal computer or other data processing equipment and receives and reviews coded and uncoded source documents; proofs previously entered data and makes routine corrections.Examines, checks, and verifies reports and other documents for completeness, appropriateness, adequacy, and conformity to established requirements, and follows up on discrepancies.Receives or delivers materials and equipment.Being present in the office is an essential function of this jobOther duties as assignedOther DutiesDemonstrates knowledge of and supports mission, vision, value statements, standards, policies and procedures, operating instructions, confidentiality standards, and the code of ethical behavior.Works effectively in team environment, participating and assisting their peers.Minimum Qualifications:Education and Experience requirements at this level consist of one year of experience in clerical office work plus one year of experience in customer service, or an equivalent combination of education and experience.Application Requirements:If education, certification or licensure is required to meet qualifications, applicants must provide documentation at the time of application.All applicants are subject to a background check and must be legally authorized to work in the United States without visa sponsorship.Valued Knowledge, Skills and AbilitiesKnowledge, Skills, and Abilities required at this level include knowledge of state laws and rules concerning the business operations of the agency; of accounting principles and practices; of various types of business organizations; of office practices; of business arithmetic; of methods and techniques for conducting research; of training principles and techniques; and of supervisory principles and practices. While performing the duties of the job, employee is required to: talk, stand, walk, and reach with hands and arms, carry light items, and drive an automobile. This position requires periods of sitting and daily use of computers and phones. Employees must be willing to perform all job-related travel associated with this position, which may occasionally be in and out of state, overnight and weekend travel may be required.
