Objective / Purpose
The purpose of the Customer Account Representative is to partner with outside sales to manage daily activities of their assigned customer accounts. The Customer Account Representative serves as the point of contact for customers’ requests, transactions, and coordinates the fulfillment of shipping orders through Blue Polymers’ supply chain. The objective of the position is to assist in the sales process, making transactions easier for both the sales team and customers, while operating within Blue Polymers guidelines and procedures. The goal is to maintain current customer relationships and drive sales.
Areas of Responsibility / Tasks
The Customer Account Representative will be the point of contact for his/her assigned outside Account Manager (Sales) and corresponding customer portfolio. Primary responsibilities include:
- Process customer purchase orders and all related requests according to policy and procedure
- Qualifies customer purchase order at time of entry by ensuring transactions meet acceptable profit requirements, minimum order quantities, published lead times and shipment deadlines.
- Monitors and executes terms of the agreement between Blue Polymers and the customer on new and existing orders
- Maintains accuracy of all customer specific information within the operating system
- Manages order progression across multiple departments within Blue Polymers.
- Have basic knowledge of all other departments’ duties to properly field customer inquiries and satisfy requests
- Utilizes company systems and reports to accurately monitor progression of orders through the system
- Follows set guidelines in submitting accurate and complete requests or paperwork to other departments by appropriate deadlines
- Establishes and maintains a system to track key activities, deadlines, and priorities for each customer within your book of business
- Assesses daily, weekly, and monthly tasks to determine urgency and importance, aligning with business goals and team needs
- Prepares sales orders for timely invoicing
- Effectively communicates order status to customers, including but not limited to backorder information, blanket order status, and future order confirmations
- Provides timely and proper relevant documentation such as ASN’s, COA’s, Regulatory and Shipping documents
- Ensures records are uploaded properly in accordance with company and legal policy via the company Document Management System (DMS)
- Adopts and contributes to a continuous improvement culture through individual and team participation
- Identifies opportunities to improve efficiencies within assigned book of business
- Actively participates in Daily Management Meetings and drives KPI results to meet team objectives and customer satisfaction
- Develops, implements, and tracks process improvement strategies using lean principles
- Monitors account performance, identifies areas of improvement, and takes action to enhance customer satisfaction to drive growth
- Assists in all proactive duties aimed at executing soft sales, managing targets and maintaining current accounts
- Process Return Goods Authorizations, Corrective Action Requests and Sales Order Adjustments as needed
- Contributes to the group’s success by assisting with coverage during absences or offering assistance to others during slow workload periods.
- Stays up-to-date on developments related to the company, profession, resources, and technology
- May include other duties as assigned
Minimum Qualifications / Education / Certifications
- Education:
- College degree or equivalent work experience required
- Minimum of 2 years of relevant work experience in similar title and scope of responsibility preferred
- Excellent communication skills, both written and verbal
- Proficiency in Microsoft Office: specifically Outlook, Word and Excel with the aptitude to quickly learn and understand additional applications.
- Must be detailed oriented with strong analytical skills and exceptional problem-solving abilities
- Willingness to adapt in an evolving environment
- Ability to maintain high levels of organization and prioritization
- Innate sense of urgency that provides proactive and consistent work
- Capacity to produce a large quantity of error free work in a timely fashion
- Natural feel or demonstrated previous experience for coaching, motivating, encouraging and interacting with individuals
- Proven ability to work well within a team and promote strong working relationships meanwhile maintaining professional attitude and positive outlook
- Experience in distribution or supply chain preferred
- Applicants must be authorized to work in the U.S.
- Ability to report to office to meet business needs
Work Environment / Conditions
The work environment/conditions described herein are representative of those that an incumbent may experience and therefore must be adaptable to.
- Must be comfortable working in a shared space, with constant noise, with/or without the use of a private office.
- Schedules may vary from week to week based on business demands in excess of 40 hours with or without notice.
