Job summary

US Fertility in Nashville is seeking a Cryostorage Coordinator to join Ovation Fertility’s Nashville team. The role focuses on cryo-storage inventory, data entry, and coordinating shipments while maintaining HIPAA compliance and excellent patient service.

You will support embryology and administrative teams, manage records, and assist with audits and CAP readiness in a fast-paced clinical setting.

Qualifications

• 2+ years of medical office experience.
• Specimen handling in a laboratory setting preferred.
• Ability to manage multiple tasks and priorities.
• Ability to organize and reconcile multiple sources of information.
• Excellent interpersonal communication and teamwork.
• Discretion with sensitive information.
• Strong organizational skills.

Responsibilities

• Maintain all cryo-storage inventory for the Ovation-Nashville Laboratory.
• Assist embryology, andrology, and administrative teams with inventory and operations.
• Assist in shipping/receiving cryostorage specimens and courier scheduling.
• Send, receive, and verify patient consents.
• Maintain accurate data entry in the EMR.
• Follow lab SOPs and HIPAA regulations.
• Support data collection for research projects and CAP prep.
• Communicate clearly with stakeholders.
• Coordinate logistics between customers and couriers.
• Maintain patient records (paper and electronic).
• Perform general office duties (filing, copying, cleaning, scanning, organizing, phone).
• Respond to patient inquiries by phone or email.
• Assist with annual cryo audit and ongoing duties.
