Qualifications

• Fluent professional English and Spanish required.

Responsibilities

• Create, maintain, and monitor customer orders from request to delivery.
• Coordinate transportation with customers, carriers, drivers, dispatch, and internal teams.
• Provide customers with timely and accurate shipment updates.
• Respond promptly to customer requests and operational issues.
• Anticipate delays and take action to prevent issues for customers.
• Track vessel schedules and time-sensitive requirements.
• Review open orders and upcoming activity daily to avoid oversights.
• Maintain rates, notes, and shipment status in the TMS.
• Follow up on PODs and shipment documentation.
• Prepare weekly and monthly reports covering revenue, volume, KPI.
• Analyze data to identify trends and discrepancies.
• Create and maintain Excel-based reports for management.
• Assist management in improving processes, reporting, and service.
• Provide evening and weekend support as required.

About the Position

Cruise logistics is fast-paced, highly time-sensitive, and constantly changing. This position requires someone who can stay organized while managing multiple priorities, communicate confidently with customers and internal teams, and anticipate what needs to happen next.

We are not looking for someone who simply waits for instructions. The right person can take direction and execute, but is also self‑reliant, resourceful, and comfortable providing input, identifying problems, and recommending better ways of doing things.

Key Responsibilities

• Create, maintain, and monitor customer orders from initial request through final delivery.
• Coordinate transportation requirements with customers, carriers, drivers, dispatch, and internal operations teams.
• Provide customers with timely and accurate shipment updates.
• Respond promptly and professionally to customer requests, changes, and operational issues.
• Anticipate potential delays, missing information, or service problems and take action before they impact the customer.
• Track vessel schedules, delivery requirements, appointments, cutoffs, and other time-sensitive requirements.
• Review open orders and upcoming activity daily to make sure nothing is overlooked.
• Maintain accurate rates, notes, documentation, and shipment status within our Transportation Management System (TMS).
• Follow up on PODs and required shipment documentation.
• Maintain organized customer, shipment, and operational records.
• Prepare weekly and monthly reports covering revenue, shipment volume, customer activity, service performance, and operational KPIs.
• Analyze operational data to identify trends, discrepancies, and areas requiring attention.
• Create and maintain Excel-based operational and management reports.
• Assist management in improving processes, reporting, organization, and customer service.
• Provide evening and weekend support as required based on customer needs, vessel schedules, and operational requirements.

Excel & Reporting Skills

Strong to advanced Excel skills are required for this position. Candidates should be comfortable with:

• Pivot Tables and Pivot Charts
• SUMIFS, COUNTIFS, IF statements, and similar formulas
• Sorting, filtering, and analyzing large datasets
• Revenue and volume analysis
• KPI and performance reporting
• Data reconciliation and discrepancy identification
• Creating clear, professional management reports

You should be comfortable taking raw operational data and turning it into an accurate, useful report for management.

Qualifications

• Fluent professional communication in both English and Spanish is required.
• Strong/advanced Microsoft Excel skills are required.
• Bachelor's degree in Logistics, Supply Chain Management, Business, or a related field is a plus.
• Previous experience in logistics, transportation, cruise logistics, freight forwarding, trucking, or supply chain is a plus.
• Experience working with ERP systems, Transportation Management Systems (TMS), or other logistics/operations software is a plus.
• Strong technology skills and ability to learn new systems quickly.
• Excellent written and verbal communication skills.
• Strong analytical and problem-solving abilities.
