Description
The Online & Extended Studies (OES) CRM Enrollment Specialistis responsible for the administration, coordination, and executionof admissions, enrollment, and course-creation processes for adiverse community of learners, including off-campus cohorts,contract programs, special programming and continuing educationcredit/unit programs. This position serves as the primary CRM(Slate) resource for OES, managing applicant and studentcommunications, enrollment workflows, reporting, and systemprocesses that support prospective students throughout theenrollment funnel, from initial inquiry through enrollment. Thisposition requires close collaboration with various offices acrosscampus in support of student success and serves as the liaisonbetween external organizations and academic departments. Serving asa liaison between external organizations and the university, thisposition supports student success initiatives and providesexpertise regarding programs, policies, and protocols specific toOES.
Examples of Duties
Oversee the administration of courses, admissions, and enrollment services for off-campus cohorts, contract programs, special programming, and continuing education credit/unit programs.- 50%
- Coordinate course and section creation, faculty credentialingand related program setup.
- Process admissions, enrollments, registration changes, gradeposting and other student records functions for non-degree, specialcredit and continuing education learners.
- Manage enrollment communications and workflows, as well asstudent outreach efforts.
- Review, update, and apply appropriate tuition rates, fees, andbilling processes for cohort, contract, entrepreneurial and specialprograms.
- Participate in semester Liveby review processes and supportother enrollment, recruitment and retention initiatives asassigned.
Serve as the primary OES resource for Slate, supporting recruitment, communications, admissions, enrollment processes, and data management for adult learners, and special credit and Workforce students. - 40%
- Collaborate with the Slate team to develop, implement andoptimize recruitment, communication, and enrollment strategies thatsupport OES student populations and improve inquiry, application,conversion and enrollment outcomes.
- Manage and support Slate processes, workflows, communications,forms and reporting related to OES noncredit (Workforce)programs.
- Act as the primary resource for Slate processes impacting OESstudents, providing guidance and recommendations to internalstakeholders and identifying opportunities for processimprovement.
- Monitor enrollment funnel performance and utilize Slate dataand reporting tools to support recruitment and enrollmentdecision-making.
Collaborate closely with the Registrar’s Office, OES’s Managerfor Business and Fiscal Operations, and Student Financial Services(SFS), to facilitate the proper policies and procedures of enrollment and billing associated with OES’s student population. -10%
- Coordinate schedule type requests and related course setuprequirements for OES programs.
- Review and verify instructor compensation for special programs,cohorts and contract offerings.
- Facilitate student billing processes and assist SFS inresolving enrollment- and billing-related issues.
- Generate and provide documentation for contract programs andthird-party partners.
Typical Qualifications
Education:
- Bachelor's degree in any field required.
Required Experience:
- Two (2) years of professional experience in enrollmentservices, student records, admissions, student support, or arelated administrative or operational role.
- Advanced proficiency using modern office technologies,including word processing, spreadsheets, databases,email/calendaring, and presentation software.
Preferred Experience:
- Knowledge of distance education, adult learners, and continuingeducation.
- Experience with Banner, Slate, or similar student informationand CRM systems.
