Crew Payroll Auditor

POSITION SUMMARY:

This position is responsible for ensuring accuracy of the crew payroll function. This role will lead the interpretation of the collective bargaining agreement as it relates to crew pay. Establish and drive process excellence.

JOB RESPONSIBILITIES:

  • Interpret the Collective Bargaining Agreement, payroll policies, and procedures to ensure employees and crew members are paid accurately.
  • Audit payroll data for compliance, accuracy, and proper authorization.
  • Perform pre-payroll audits for General Employee, Puerto Rico, and Crew payrolls before payroll is processed.
  • Review payroll registers for General Employee and Puerto Rico payrolls, including hours, pay rates, overtime, bonuses, deductions, leave, new hires, terminations, adjustments, and unusual variances.
  • Conduct detailed biweekly Crew Payroll audits by reviewing flight activity, pay codes, premiums, adjustments, and supporting documentation.
  • Identify payroll discrepancies, ensure corrections are completed before processing, and document outstanding issues and resolutions.
  • Review crew payroll source data and supporting records, including applicable flight activity, schedules, pay codes, rates, premiums, training activity, overrides, adjustments, and other compensation elements used to calculate pilot payroll.
  • Maintain payroll audit checklists, internal controls, audit procedures, and supporting documentation for each payroll cycle.
  • Perform payroll variance and trend analysis to identify recurring errors, high-risk transactions, and control weaknesses.
  • Track payroll errors, determine root causes, and recommend process improvements to reduce future discrepancies.
  • Review prior audit findings to confirm previously identified issues have been resolved.
  • Develop and maintain Payroll Audit SOPs and cross-train team members to ensure adequate backup coverage.
  • Communicate significant payroll risks, audit findings, and unresolved issues to Payroll Management and appropriate business partners.
  • Partner with Payroll, HR, Finance, Crew Planning, Crew Training, and Operations to improve payroll accuracy and compliance.
  • Provide payroll audit metrics and reporting to support management decision-making and continuous process improvement.
  • Perform targeted audits based on identified payroll risks, including high-dollar payments, manual adjustments, retroactive transactions, rate changes, overtime, premium pay, and other payroll components with elevated risk.
  • Perform root-cause analysis of payroll errors and work with Payroll, HR, Crew Planning, Crew Training, Operations, Finance, and other applicable departments to implement corrective and preventive measures.
  • Perform other related duties as required.

PERFORMANCE STANDARDS/MEASUREMENTS:

  • Payroll audits for Crew, General Employees, and Puerto Rico are completed accurately and within established deadlines.
  • Payroll registers are reviewed before processing, with discrepancies identified, corrected, documented, and escalated as needed.
  • Payroll audits, reporting, and controls are completed in accordance with company procedures, the Collective Bargaining Agreement, and applicable regulations.
  • Audit documentation, checklists, and supporting records are maintained for each payroll cycle.
  • Payroll errors and trends are tracked, analyzed, and addressed through corrective actions and process improvements.
  • Significant risks, findings, and control issues are clearly communicated to Payroll Management and appropriate business partners.
  • Strong working relationships are maintained with Payroll, HR, Finance, Operations, Crew departments, and Pilots.
  • The role is viewed as a trusted payroll audit and compliance resource and contributes to improved payroll accuracy, stronger controls, and reduced corrections.

MINIMUM QUALIFICATIONS, SKILLS, EDUCATION AND EXPERIENCE:

  • Bachelor's degree in a business-related field. Accounting, Finance, data analytics or business majors preferred
  • 3-5 years of experience working in a complex environment utilizing analytical capabilities
  • 3-5 years of payroll experience
  • Strong analytical, research and technical skills
  • Strong communication and presentation skills
  • Detail oriented and able to handle numerous assignments
  • 3-5 years of experience working with ADP Workforce Now
  • Ability to interact with all levels of employees and management
  • Ability to learn customized systems (AIMS)
  • Excellent relationship building and collaboration skills
  • Knowledge of office procedures and processes
  • Working knowledge of computer programs – particularly MS Excel –Word – PowerPoint

PREFERRED QUALIFICATIONS AND SKILLS:

  • Familiarity with payroll systems is a plus
  • Bilingual – Spanish and English highly preferred
  • Internal controls and audit experience

SUPERVISORY RESPONSIBILITIES:

This job requires no supervisory responsibilities. May be required to train and assist other employees.

TRAVEL:

May be required to travel domestically or internationally on occasion.

LANGUAGE SKILLS:

The employee must possess strong interpersonal and communications skills, be able to effectively present information, respond to questions from managers, employees, vendors, and the general public, and proficiently write reports and business correspondence.

PHYSICAL ACTIVITIES AND REQUIREMENTS OF THE POSITION:

Sedentary work; sitting most of the time. Exerts up to 30 lbs. of force occasionally for office supplies and equipment.While performing the duties of this job, the employee frequently works in an office environment. Travel and overtime are required when necessary.
