- Provide 24/7 support to US Operations teams for the safe and smooth turnaround of appointed vessels within the US port office jurisdiction
- Manage vessel requirements and book relevant services
- Assist with Inchcape's 24/7 on-call services for Principals
- Render ships agency services to customers at an excellent level
- Maintain smooth and quick vessel turnarounds while advising local authorities on vessel details
- Keep all relevant parties informed and meet KPIs
- Seek methods to reduce operational costs and improve port-office efficiencies
- Collaborate with peers in other locations
- Prepare pre-arrival documentation and vessel/terminal visitor and vendor lists
- Coordinate sailing arrangements
- Create Statements of Facts (SOF), vessel attendance reports, and other documents
- Liaise daily with clients, vendors, and port services
- Update systems accurately and promptly to provide current information to clients
- Exercise discretion and independent judgment on significant operational matters
- Report to the Operations Manager
Requirements
- High School Diploma or GED equivalent required
- Knowledge of Port Operations and Port Agency services desired
- Knowledge of immigration regulations for seafarers and attending personnel for vessels
- Ability to work independently with limited supervision
- Ability to multitask, balance changing priorities, and meet deadlines
- Logical thinking, procedure-following, and sound decision‑making abilities
- Organizational and time management skills; ability to prioritize and be detail‑oriented
- Strong verbal and written communication, interpersonal, listening, and customer service skills
- Ability to board vessels via gangway and/or pilot ladder alongside berth and over open water
- Ability to climb, ascend, and descend ladders, stairs, and ramps
- Ability to lift and carry 50 lbs.
- Ability to work in cold, heat, wind, rain, and snow
- Advanced proficiency with Microsoft Word, Excel, PowerPoint, SharePoint, and Outlook
- Foundational knowledge of Port Operations
- Reliable transportation, valid non‑expired state driver's license, and vehicle insurance coverage
- Must undergo a federal background check for TWIC or already possess a TWIC; TWIC must be obtained within 30 days of appointment and maintained throughout employment
