Business Need / Purpose of Role

The Crew Logistics Specialist (CLS) (Husbandry) reporting to the Operations Manager is responsible for providing 24 hours a day, 7 days a week to our US Operations teams to support the safe and smooth turnaround of all appointed vessels within the jurisdiction of the US port office, managing vessel requirements, and booking relevant services as required. Will exercise discretion and independent judgment with respect to operational matters of significance to the business and our customers.

Objectives & Measurement – Key Responsibilities

Customer Service & Operations

  • Ensure ships agency services are rendered to all customers at an excellent level
  • Maintain a smooth, quick turnaround of vessels, advising local authorities on vessel details keeping all relevant parties informed while meeting all KPI’s
  • Continually seek new methods to reduce operational costs and find efficiencies for the port office to enhance service delivery
  • Work collaboratively with peers in other locations to achieve desired goals
  • Prepare Pre-arrival Documentation and Visitor/Vendor List for Vessel/Terminal
  • Coordinate Sailing Arrangements and Create Statement of Facts (SOF) Vessel Attendance Report & Other Documents

External Providers

  • Liaise with clients, vendors & port services on a daily basis
  • Always perform accurate and timely updates of systems in order to have fresh data and present the best information to clients
Knowledge, Skills, And Abilities
  • Knowledge of Port Operations and Port Agency services desired
  • Knowledge of immigration regulations for seafarers and attending personnel for vessels
  • Ability to work independently with limited supervision, multitask and possess strong initiative, exercise independent judgment within established systems and procedures
  • Ability to balance multiple tasks, changing priorities & operate within a deadline-oriented environment
  • Ability to think logically, establish and follow procedures, instructions and make sound decisions
  • Possess organizational and time management skills with ability to prioritize, be detail oriented and results driven
  • Attention to detail with a high level of accuracy
  • Strong interpersonal skills including excellent verbal and written communication skills
  • Excellent customer service and communication skills, including strong verbal and listening skills
  • Must possess an advanced proficiency with Microsoft Word, Excel, PowerPoint, SharePoint, and Outlook
Education, Qualifications, Certifications, And Licenses

Education/Experience:

  • High School Diploma or GED equivalent required
  • Associate's and/or Bachelor’s Degree in Maritime Administration, Business Administration or a related major in a public or accredited private academic institution desired, but not required
  • Previous experience in Shipping, Freight Forwarding, or Transportation/Logistics preferred, but not required
  • 2 years related work experience in maritime environment preferred, but not required
  • A foundational knowledge of Port Operations

Licenses:

  • Agents are expected to travel around specific port/terminal locations and surrounding areas and must possess their own reliable transportation, a valid "non-expired" state drivers' license, and vehicle insurance coverage.
  • Once selected for employment, federal regulations require that the applicant must either undergo a federal background check as part of the Transportation Worker Identification Credential (TWIC) program or already possess a TWIC. The TWIC must be obtained within 30 days of appointment, and be maintained for the duration of employment. For further program information, visit: https://www.tsa.gov/for-industry/twic
