Job description

The Credit Recovery & After School Program Coordinator is responsible for ensuring that students who are off track for graduation have a clear, closely monitored plan to recover credits and return to on-track status. The Coordinator manages IDEA’s credit recovery program from identification through successful course completion, including transcript analysis, student enrollment, progress monitoring, intervention, and communication with students and families.

The Coordinator also leads the day-to-day coordination of IDEA’s after-school and extracurricular programming. This includes maintaining accurate program rosters and attendance, coordinating club sponsors and external partners, managing snacks and program logistics, monitoring students after school, tracking participation goals, and providing school leadership with regular reports on program implementation and student participation.

Success in this position requires exceptional organization, persistence, attention to detail, strong relationships with students, and a results-oriented approach to ensuring that students remain engaged and make measurable progress toward graduation.

Credit Recovery & Graduation Progress

The Coordinator will:

  • Review and analyze student transcripts, credit histories, schedules, and graduation requirements to identify students who are off track or at risk of becoming off track for graduation.
  • Maintain an accurate, current list of all students requiring credit recovery, including courses/credits needed, current enrollment, progress, and expected completion dates.
  • Work with school leadership and counseling staff to verify graduation requirements and determine appropriate credit recovery placements.
  • Create and manage student accounts and courses within the school’s approved credit recovery platform.
  • Enroll students in appropriate credit recovery courses.
  • Meet individually with students to explain credit deficiencies, graduation status, required credit recovery courses, expectations, deadlines, and completion plans.
  • Communicate regularly with students and families regarding credit recovery requirements and progress toward graduation.
  • Directly support students with completion of credit recovery courses.
  • Monitor student participation and course progress, including attendance, assignments completed, course completion percentages, grades, and time on task.
  • Proactively identify students who are not making sufficient progress and implement interventions to re-engage them.
  • Provide direct support to students during designated credit recovery periods and connect students with academic assistance when needed.
  • Coordinate with administrators and other staff to resolve barriers preventing students from completing required credits.
  • Verify course completion and ensure that completed credit recovery courses are properly documented and submitted for transcript updates.
  • Maintain accurate records and documentation for all credit recovery activity.
  • Provide leadership with weekly Credit Recovery Progress Report identifying student status, progress, completed courses, students requiring intervention, and anticipated completion dates.
  • Track cohort-level progress and maintain a clear projection of students expected to return to on-track status.
  • Take ownership of the schoolwide goal of ensuring that 100% of students identified as off track have an active recovery plan and successfully return to on-track status.
After-School Programs

The Coordinator will manage the daily operation and coordination of IDEA’s after-school programs, clubs, and other extended-learning opportunities. Responsibilities include:

  • Coordinate the school’s overall after-school program schedule and maintain a master calendar of activities.
  • Recruit staff members and other qualified individuals to serve as club sponsors and program facilitators.
  • Support school leadership in identifying and launching programs aligned with student interests and school participation goals.
  • Maintain an accurate, active roster for every after-school program.
  • Establish and manage student registration and attendance procedures.
  • Track daily attendance for all after-school programs and ensure sponsors submit accurate attendance information.
  • Monitor overall participation and progress toward established schoolwide program participation goals.
  • Conduct targeted student recruitment when individual programs or overall participation falls below established targets.
  • Communicate after-school opportunities, schedules, expectations, and changes to students, families, and staff.
  • Coordinate and distribute after-school snacks and maintain required records related to snack distribution.
  • Monitor hallways, classrooms, the gymnasium, and other program spaces to ensure students are participating in their assigned activities and are appropriately supervised.
  • Establish procedures for students transitioning from the regular school day into after-school programming.
  • Ensure that students who are not participating in an approved activity leave campus in accordance with school procedures.
  • Regularly visit programs to monitor attendance, student engagement, supervision, and overall program quality.
  • Coordinate with staff sponsors, athletics personnel, external partners, facilities staff, and school leadership regarding space and scheduling.
  • Maintain program documentation, including rosters, attendance records, schedules, sponsor assignments, and participation data.
  • Produce weekly reports for school leadership summarizing participation, attendance, program activity, challenges, and progress toward participation goals.
  • Gather student feedback and participation data to determine which programs should be continued, expanded, modified, or discontinued.
  • Identify operational or supervision concerns and promptly communicate them to school leadership.
Performance Expectations & Key Outcomes

Performance in this position will be evaluated in significant part based on measurable student and program outcomes, including:

  • 100% of students identified as off track have a documented credit recovery plan.
  • 100% of eligible students are appropriately enrolled in required credit recovery courses.
  • Credit recovery progress is reviewed and documented weekly.

  • Student whereabouts and supervision are appropriately monitored during after-school hours.

  • Leadership has timely, reliable data regarding credit recovery and after-school program performance.
Qualifications
Required:
  • Bachelor’s degree or equivalent combination of education and relevant experience.
  • Strong organizational, project-management, and data-management skills.
  • Ability to analyze transcripts, student records, and graduation requirements with a high degree of accuracy.
  • Strong written and verbal communication skills.
  • Ability to develop positive, productive relationships with high school students.
  • Demonstrated ability to manage multiple responsibilities, deadlines, and student cases simultaneously.
  • Strong proficiency with spreadsheets, student information systems, learning management systems, and other technology platforms.
  • Ability to work independently while collaborating effectively with teachers, administrators, students, families, and external partners.
  • Strong attention to detail and commitment to accurate recordkeeping.
  • Experience working with students in a high school setting.
Ideal Candidate

The ideal candidate is highly organized, persistent, student-centered, and intensely focused on results. This person does not simply identify that a student is behind; they take ownership of helping the student get back on track. They are comfortable working with data while also building strong relationships with students. They follow up consistently, anticipate problems, communicate clearly, and understand that successful student support requires both strong systems and individual attention.

Because the position works from 10:00 a.m. to 6:00 p.m., the Coordinator serves as an important bridge between the academic school day and IDEA’s after-school programming, ensuring that extended learning time is purposeful, well organized, well supervised, and contributing to IDEA’s academic and student engagement goals.
