JOB DESCRIPTION:

The ideal Creative Traffic Specialist is not simply an administrator or scheduler. This person must think like an air-traffic controller for the Creative Department—constantly understanding what is coming in, what is currently in production, who is working on what, what needs approval, what is approaching deadline, and where intervention is required.

They must be highly professional, organized, proactive, diplomatic, detail-oriented, and comfortable working with creative professionals while maintaining structure and accountability. The Creative Traffic Specialist should know when to push a project forward, when to pivot an issue, when priorities need to be reconsidered, and when timelines are unrealistic.

Most importantly, Monday.com proficiency is a core competency of this role, not simply a preferred software skill. The successful candidate must be capable of using Monday.com strategically to build and maintain a disciplined, transparent, and measurable creative workflow that allows the department to produce high-quality work efficiently while consistently meeting stakeholder expectations.

JOB ROLES AND RESPONSIBILITIES:

  • Own the day-to-day creative workflow within Monday.com, ensuring that every active project is properly entered, assigned, prioritized, scheduled, tracked, and closed.
  • Maintain accurate project statuses, owners, deadlines, dependencies, priorities, deliverables, and stakeholder information.
  • Create and manage boards, dashboards, forms, templates, automations, dependencies, notifications, and reporting views that improve departmental efficiency.
  • Establish standardized intake procedures so projects enter the Creative Department with the necessary information, specifications, assets, objectives, and deadlines before work begins.
  • Evaluate incoming requests and help determine alignment with business objectives, priority, urgency, complexity, resources, and realistic timelines.
  • Monitor creative capacity and workloads, identifying overloaded resources, scheduling conflicts, bottlenecks, overdue approvals, and projects at risk.
  • Traffic projects intelligently across designers, multimedia specialists, production resources, and other creative personnel based on availability, expertise, priority, and deadlines.
  • Conduct regular workflow reviews and proactively follow up with team members and stakeholders rather than waiting for projects to become overdue.
  • Use Monday.com dashboards and reporting to provide Creative leadership with a clear view of departmental workload, project volume, capacity, deadlines, bottlenecks, turnaround times, and overall workflow health.
  • Continuously identify opportunities to simplify and automate repetitive administrative processes.
  • Maintain Monday.com as the department’s single source of truth, minimizing side conversations, undocumented requests, lost approvals, unclear ownership, and competing versions of project information.
  • Team Collaboration: Foster a collaborative environment by bringing together cross-functional teams to brainstorm, review, and execute creative concepts.
  • Creative Direction Support: Work alongside senior creative leaders to ensure the creative vision is being adhered to and that the final product aligns with the brand's objectives.
  • Problem-Solving: Identify and resolve project roadblocks or challenges in a timely and effective manner, maintaining quality and delivery schedules.
  • Quality Control: Ensure that all creative assets are reviewed for consistency, accuracy, and brand alignment before final delivery.

Scheduling & Reporting

  • Timeline Development: Create detailed project timelines and production schedules that outline critical milestones, deadlines, and key deliverables.
  • Monitor Progress: Track project status, update teams / stakeholders on progress, and proactively address any delays or issues. Proactive critical thinking and great communications skills are crucial.
  • Post-Project Analysis: Lead post-project reviews to analyze successes and areas for improvement, providing feedback to enhance future projects.

Budget & Resource Management

  • Budget Oversight: When necessary, co-manage project production budgets to ensure that creative projects stay within allocated resources and financial constraints.
  • Vendor Management: When necessary, coordinate with external vendors, freelancers, or agencies, ensuring they meet quality standards, deadlines, and budget requirements.
  • Lead team communication and stakeholder interactions: Act as a potential point of contact for external stakeholders, other team members, printers, and vendor partners, ensuring effective communication and collaboration to achieve project goals.

Qualifications include:

  • Excellent organizational and time management skills.
  • Strong communication skills (verbal and written), with the ability to effectively interact with internal teams and external stakeholders.
  • Proficiency in project management tools such as Monday.com , Asana, Trello, or similar.
  • Comfortable with digital asset management systems and creative tools (e.g., Adobe Creative Suite, Google Drive, Dropbox, Microsoft Office, etc.).
  • Problem-solving mindset and ability to work in a fast-paced, deadline-driven environment.
  • Experience with budgeting and cost management.
  • Experience a must in a fast-paced, in-house creative / ad-agency environment.
  • Familiarity with design, marketing or advertising / design principles.
  • PMP (Project Management Professional) or other relevant project management certifications preferred.
  • Experience working in a cross-functional team with varying priorities and tight timelines.
  • Attention to Detail: A keen eye for detail and a commitment to delivering high-quality work.
  • Proactive and Solutions-Oriented: Ability to anticipate potential issues and take proactive measures to avoid them.
  • Creative Mindset: While managing projects, you should also understand the creative process and contribute to brainstorming and problem-solving.
  • Adaptability: Comfortable working on a variety of creative projects, each with unique challenges and timelines.
  • Leadership: Ability to motivate and inspire creative team members, as well as stakeholders, keeping them focused and engaged throughout the project lifecycle.

EXPERIENCE:

Outlined below are the academic qualifications and length and type of experience deemed necessary by Unique Vacations Inc. in order to perform the role of Creative Traffic Specialist competently.

Education: B achelor’s degree in communications, advertising, marketing and/or related field.

Experience: 3- 5+ years of experience in project management, preferably within a creative or marketing environment (Design Studio, Ad Agency, Marketing Department) Previous Advertising / Creative / Marketing Industry-Related Experience required. P roven track record managing multiple creative projects simultaneously, ensuring deadlines and expectations are met.
