This Court Operations Supervisor opportunity is designated to serve the Court from the on‑site Operations Department, located at 1000 Main Street, Woodland, CA 95695. Court hours of operation are 8:00 a.m. to 5:00 p.m., Monday through Friday.

POSITION SUMMARY

Under direction of the Court Executive Officer, Assistant Court Executive Officer, and/or Operations Manager supervise an operational unit of the Court and perform other related duties as required. This position is “at‑will” and FLSA non‑exempt.

DISTINGUISHING CHARACTERISTICS

The Court Operations Supervisor serves as a first line supervisor on a daily basis over a recognized operational division or divisions of the Court (Civil, Criminal, Traffic or Collections) and advises the Court Executive Officer, Assistant Court Executive Officer, and/or Operations Manager on staffing, personnel and unit needs and concerns.

  • Plan, assign, supervise, coordinate, review and evaluate the work of legal process and/or collections staff
  • Ensure adequate coverage for the legal process and/or collection unit
  • Train staff in legal terminology, procedures and document processing; review work in progress and upon completion
  • Authorize employee leaves and absences
  • Participate in the selection of staff; appraise employee performance; conduct counseling on work issues; recommend and administer discipline to staff as required
  • Develop procedures, forms and work standards for staff; ensure that work is performed in a consistent manner and maintain the flow and quality of work within the unit
  • Monitor changes in laws, policies and procedures that impact work; recommend procedural improvements and implement them after approval; assist in communicating procedures to staff
  • May interpret legal codes to determine proper filing procedures
  • Determine notice requirements, including the type of notice and the parties of notice
  • Confer with the Court Executive Officer, Assistant Court Executive Officer, Court Operations Manager, and other supervisors and managers on policies, and procedures and makes recommendations on their revision
  • Answer complex and difficult legal or procedural questions related to document processing; advise attorneys, public agencies and the general public regarding the status of cases and procedural information; apply Court policy to resolve issues
  • Answer staff questions on the application of pertinent codes as they relate to their duties
  • Answer the questions of others as they relate to changes in the law governing operations of the court
  • Hear and resolve employee concerns and issues
  • Prepare and maintain statistical and narrative reports related to activity and work of the unit.
  • Perform unit work when needed due to employee absences and/or emergency
  • Maintain/check on office supplies and inventory and prepare requisitions as required
  • Prepare and maintain personnel and payroll records
  • Serve as court representative with law enforcement agencies, attorneys, and county departments
  • Perform related work as required
Education

High school diploma or equivalent. Related education beyond the high school level may be substituted for up to 1 year of experience.

Experience

Five (5) years of legal clerical experience, which includes at least one (1) year performing legal processing, courtroom support, or other similar work in a court setting.

In addition, the candidate must have at least two (2) years of experience in a lead or advanced role.

Knowledge of
  • Supervisory principles, practices and methods related to selection, evaluation and supervision of subordinates

  • Statutes relating to court legal process and court clerical procedures, including the Code of Civil Procedure, Penal, Civil, Probate, and Vehicle Codes
  • Court policies and procedures
  • Legal process and/or collections procedures
  • Legal terminology
  • Basic mathematics and financial record keeping procedures
  • Statistical development and analysis
  • Correct use of the English language including spelling, punctuation, and grammar
  • Modern office practices
Ability to
  • Interpret and apply state statutes, local ordinances, local court rules and procedures pertaining to court processes
  • Supervise subordinate employees, including employee development and motivation, discipline and counseling

The employee is occasionally required to lift and/or move objects weighing up to 25 pounds and reach for items above and below desk level. Lifting of objects weighing in excess of 25 pounds will require team lifting. The noise and traffic level in the work environment are similar to a busy business office.

Normal business hours: 8:00 a.m. to 5:00 p.m., Monday through Friday. Overtime may occasionally be required.
