Job summary

BestSelf Behavioral Health in Buffalo, NY seeks an administrative assistant to support counseling staff within our Certified Community Behavioral Health Clinic. You will request and organize clinical/medical records, prepare supportive documents, and assist counselors with resources as needed.

You will coordinate care between the clinical team, prescribers, and nursing staff; contact clients—especially high-risk cases—and reach out to collaterals and outside providers for information.

Qualifications

• High school diploma or GED required.
• Ability to coordinate between multiple people/entities.
• Fluent English; bilingual skills encouraged.

Job description

Responsible for supporting counseling staff in the Certified Community Behavioral Health Clinic. Will provide supporting duties including requesting and organizing clinical/medical records, completing supportive documents for counseling staff, providing support to counselors as needed.

RESPONSIBILITIES

• Assists in coordinating communication regarding care between clinical team, prescribers, and nursing staff
• Monitoring and contacting clients, to include those identified as high risk, with no recent contact or no next appointment scheduled
• Reaching out to collaterals and outside providers (PCP, insurance companies, inpatient, and detox facilities) involved in client care to request information
• Assists counselors in obtaining resources needed for group and individual sessions
• Obtains toxicology and lab reports for counselors
• Helps to complete court reports, completion of paperwork and other clinical data needed
• Coordinates and schedules necessary appointments
• Prepare/Stage documentation such as discharges, for counselors to complete
• Schedule and assigned duties are subject to change based on the needs of the program and the clients we serve.
• Performs all other duties as assigned.

QUALIFICATIONS

• High School Diploma or GED
• Some knowledge/experience with coordinating and collaborating between multiple person(s) or entities
• Ability and flexibility to learn and execute new tasks and processes
• Ability to ask for support and/or clarification when needed
• Great organization, problem-solving and time management skills
• Able to thrive in fast-paced environments
• BIPOC and Bilingual English/Spanish, Arabic, or other language strongly encouraged to apply.
