Job summary

Carnival Corporation & plc is seeking a Coordinator, Youth Programs to support youth and family experiences across Carnival’s US fleet. You will coordinate daily operations, manage purchasing, inventory, vendor relations and administrative tasks to ensure high-quality shipboard programs.

Job description

The Coordinator, Youth Programs helps ensure the successful operations of Carnival Youth Programs across the US and Australia fleet of 29 ships carrying over 1 million youth annually. The Coordinator supports the team by managing operational logistics, optimizing standard operating procedures, and enhancing both new and existing shipboard youth and family entertainment experiences. The Coordinator is responsible for asset management, inventory control, and support responsibilities, ensuring Carnival Youth Programs are executed to the highest standards.

In this role, the Coordinator will collaborate closely with the Youth & Family team, procurement, vendors, and shipboard leaders to maintain and improve the quality of offerings. The Coordinator will assist in sourcing, purchasing, inventory management, invoice coding, and the creation of databases. The Coordinator will also play a key role in the development of innovative experiences for kids, teens and families, ensuring that all supplies and equipment meet Carnival’s branding and quality standards. The ideal candidate will have strong organizational and communication skills, a keen eye for detail, and the ability to work effectively in a fast-paced, dynamic environment.

Essential Functions:

Program, Operation, Support & Innovation

  • Daily Operations: Support fleetwide daily operations for Youth Programs (Turtles, Camp Ocean, Circle 'C' and Club O2) by assisting team with various responsibilities to ensure standards, efficiencies, safety protocols, and policies are maintained.

  • Purchasing & Logistics: Oversee the planning and procurement of products and services essential for Youth Programs. Cultivate and sustain vendor relationships, identify opportunities for cost savings, request quotes, place orders, and manage shipment logistics in collaboration with Carnival’s warehouse teams.

  • Inventory Management: Maintain and update inventory, report low stock and underutilized items, and determine priority for restocking. Visit warehouse quarterly to review and organize inventory. Fulfill consumable requests from the fleet using stock or ordering via iProcurement.

  • Quality Assurance: Monitor quality and age ratings for youth and family related supplies. Ensure all branded supplies and equipment adhere to Carnival’s business strategy and quality standards.

  • Administrative Support: Provide operational support to the Youth & Family Experiences team, which may include arranging meetings, creating presentations, updating reports, and entering data. Assist with travel arrangements, training, and onboarding tasks for shipboard and shoreside team members.

  • Special Projects: Assist in the planning and logistics of in-person departmental meetings. Lead all planning and logistics for shipboard leadership conferences.

  • Shipboard Support: Collaborate with shipboard leaders to ensure timely delivery of supplies and equipment.

  • Cross-Functional: Foster cross-functional collaboration with internal and external stakeholders, including Procurement, Purchasing, New Builds, Refurbishments, Compliance, and Finance.

  • Vendor Relations: Cultivate a culture of trust and mutual respect with vendors to foster open communication and successful project execution.

Safety & Compliance

  • Safety Practices: Embrace safety practices and attend training programs, ensuring the highest level of guest and crew safety while maintaining operational integrity. Learn safety practices and standards specific to kids and teens. Ensure teams are prepared to fulfill onboard safety-related duties.

  • Compliance Adherence: Ensure full compliance with company policies and procedures, emphasizing safety protocols and operational standards as outlined by Global HESS (Health, Environment, Safety, and Security) and ADA guidelines.

Program Evaluation

  • Data Analysis: Synthesize data collections for various projects. Leverage data to accurately determine usage guidelines for giveaways and supplies.

  • Reporting: Submit reports to showcase changes and improvements in processes, orders, deliveries, and timelines.

  • Program Effectiveness: Monitor and evaluate the effectiveness of programs and partnerships; make recommendations for enhancements.

  • Feedback Collection: Collect feedback from various outlets to continuously improve guest experiences and operational efficiency.

Financial Accountability

  • Financial Plan: Monitor and track expenditures across various budgets and accounts, including operational expenses and capital projects. Ensure that all orders placed comply with established budgetary guidelines.

  • Cost Optimization: Collaborate with Sourcing, Procurement, and Purchasing teams to maximize cost savings while ensuring high-quality goods and services. Identify and mitigate supply chain risks to maintain operational continuity and financial efficiency.

  • Vendor Setup: Streamline the onboarding of new vendors by gathering and verifying all necessary documentation, such as completed GSM Supplier Information forms and sample invoices.

  • Invoice Processing: Oversee the coding, categorization, and alignment of purchases to various account strings. Accurately input and code invoices for processing, ensuring precision in financial transactions. Monitor payment statuses and promptly follow up with the Accounts Payable department to resolve any issues.

  • Travel and Expense: Manage personal travel arrangements and expenses in accordance with Carnival Cruise Line's travel policies and procedures. This includes timely submission of expense reports. Ensure all travel arrangements are cost-effective and compliant.

  • Scope: Supports the delivery of youth and family programs across Carnival’s fleet by coordinating operational logistics, inventory, purchasing, and administrative activities while partnering with shipboard teams, vendors, and internal stakeholders

  • Problem-solving: Identifies and resolves operational, inventory, procurement, and logistical issues by analyzing data, coordinating with stakeholders, and implementing practical solutions to support uninterrupted program delivery.

  • Impact: Contributes to the quality, consistency, and efficiency of youth and family programs by ensuring resources, supplies, and processes are effectively managed and aligned with operational and brand standards.

  • Leadership: Provides leadership through coordination of projects, vendor relationships, and cross-functional partnerships. Influences outcomes by fostering collaboration, communication, and accountability across shoreside and shipboard teams without direct supervisory responsibility.

Essential/Minimum qualifications:
  • Associates Degree in Entertainment Management, Business, Hospitality and Tourism, Education, Sports and Recreation or related field

  • Bachelor’s Degree, preferred

  • Adaptability: Flexible and able to adjust to changing circumstances and handle unexpected challenges.

  • Attention to Detail: Meticulous in ensuring accuracy and thoroughness in all tasks.

Essential experience required:
  • 2 years experience in a similar role centered on operational or business support, education administration, or youth programs.

  • Proficient in Microsoft Office 365 applications, with advanced skills in Excel, Word, Power Point, Oracle, and online databases is a plus.

  • Previous cruise ship experience and/or youth programs experience is a plus.

Travel: Less than 25% with shipboard travel likely

Work Conditions: Work primarily in a climate-controlled environment with minimal safety/health hazard potential.

Physical Demands. Must be able to remain in a stationary position at a desk and/or computer for extended periods of time.

This position is classified as “in-office.” As an in-office role, it requires employees to work from a designated Carnival office in South Florida Monday through Thursday each week. Employees may work from their homes on Fridays. Candidates must be located in (or willing to relocate to) the Miami/Ft. Lauderdale area.
