Basic Job Function
Manage the arrival and department reservations for our guests and members, effectively supervise and lead all drivers to ensure compliance with all federal, state, local, company, and departmental policies and procedures while providing the best possible service for our guests, members, and fellow employees.
Use of Company Vehicle: Not Designated to drive a company vehicle.
Minimum Requirements
- Knowledge in the transportation field such as dispatch or driver.
- Previous supervisory skills preferred.
- Excellent communication skills, both written and verbal.
- Valid Georgia Driver’s License.
- Company policy requires that one must be 21 years of age or older to drive a company vehicle.
- Pass a yearly Motor Vehicle Report (MVR) review.
- Proficient in Windows XP and Microsoft Office software applications such as Word, Excel, and Outlook.
- Proficient with peripherals, copier, fax, telephone and calculator.
- Familiarization with Micros POS (point-of-sales) system.
- Ability to work simple math calculations.
- Minimum typing skill of 35+ wpm preferred.
- Must have ability to courteously present information to people in one‑on‑one and group situations.

- Report to work at the scheduled time, neatly groomed and in compliance with the company Dress Code Policy.
Tasks/Responsibilities
- Learn the names and personally recognize our regular guests and members.
- Efficiently manage all reservation systems including LimoAnywhere and Sea Island RIDE program.
- Accurately set up transportation reservations from group resumes.
- Monitor business volume daily and inform department managers when reservations are high to proactively plan and establish alternatives.
- Monitor Sea Island RIDE program and LimoAnywhere to ensure all transfers are completed on time and problem‑free.
- Efficiently handle all incoming calls.
- Schedule all transportation and drivers in advance to ensure guests are taken care of at the correct times and places.
- Assist guests/members with recommendations and quotes.
- Enter all reservations into the necessary systems in a timely manner.
- Confirm all reservations.
- Generate and update group manifests as necessary.
- Be completely guest‑focused. Demonstrate expert knowledge of all modes of transportation offered and all transportation rates.
- Be fully aware of all airport policies and procedures and relay these to guests/members.
- Manage all systems—GeoTab GPS, LimoAnywhere, Sea Island RIDE program, Microsoft Excel, Word, Outlook, and Teams.
- Maintain confidentiality of all guest and employee information.
- Ensure all guest information is input into the system accurately, completely, and promptly.
- Communicate with guests in a professional manner through fax, calls, or email, and provide additional communications as needed.
- Collect and utilize guest history information on all transactions.
- Process all transportation charges, ensuring correct and complete information is recorded, and prepare nightly close‑out reports.
- Collect and file all DVIRs and check for accuracy.
- Distribute the keys of vehicles to drivers and be accountable for their location.
- Maintain thorough knowledge of current guest services, activities, dining options, shops, local attractions, and historical information regarding Sea Island and the surrounding area to answer any questions guests may have.
- If applicable, complete a Guest Problem Resolution (GPR) form on any issues (solved or unsolved) and follow up as needed. If computer access is not available, provide information to admin support.
- Maintain cleanliness and organization in all work areas.
- Uphold appropriate departmental standards of quality and timing.
- Uphold and ensure compliance with all company and departmental policies and procedures.
- Report all equipment problems, maintenance issues, known safety hazards, or unsafe practices and procedures to the supervisor immediately.
- Attend all scheduled employee meetings and bring suggestions for improvement.
- Willingly and timely execute other duties as delegated by leadership.
Physical Requirements
- Ability to kneel, crouch, squat, climb, stand, sit, balance, reach, bend, push, pull, and walk for prolonged periods.
- Ability to work for extended time periods in an outdoor environment, including sun, heat, cold, wind, rain, and higher than normal noise levels.
- Perform repetitive tasks with accuracy.
- Lift, carry, pull, and push up to 30 lbs intermittently throughout a shift.
- Read, write, and communicate effectively in English, both written and verbal.
- May be exposed to mechanical, electrical, chemical, and fume hazards.
- Maintain compliance with Sea Island’s Company Resort Professional Image Policy.
