Job summary

U.S. Xpress is seeking a Coordinator, Service and Parts at Ellenwood USX Terminal. Shift is Monday–Friday, hours 3:30p–12:00a. This role coordinates service appointments, repair orders, and parts flow to ensure timely vehicle maintenance and uptime.

The ideal candidate will have a high school diploma or GED and 1+ year in a similar role, with strong organizational and communication skills. Remote work is not available.

Qualifications

  • High school diploma or GED required.
  • 1+ year in a similar service coordinator position required.
  • Experience in parts management or shop support is preferred.
  • Transportation/Logistics/Tech industry experience is a plus.

Responsibilities

  • Generate, monitor, and close repair orders with accuracy and complete documentation.
  • Coordinate service appointments, estimates, authorizations, and communications.
  • Provide timely updates to drivers on repair status and assist with service needs.
  • Monitor progress and resolve delays related to parts or orders.
  • Order parts from vendors and ensure timely procurement and delivery.
  • Receive, stock, and organize incoming parts shipments.
  • Maintain up-to-date service files and records.

Position Functions:
  • Generate, monitor, and close repair orders with accuracy, ensuring all documentation, service tracking, and supporting records are complete.
  • Coordinate service appointments, repair estimates, authorizations, customer communications, and complaint resolution.
  • Provide timely updates to drivers on repair status and assist with identifying service needs in a professional and courteous manner.
  • Monitor repair progress, collaborate with shop management, and resolve delays or issues related to parts or repair orders.
  • Issue correct tractor and trailer parts to technicians, recording all transactions to the appropriate repair orders.
  • Order required parts from approved vendors when not available in stock and ensure timely procurement and delivery.
  • Receive, stock, and organize incoming parts shipments, maintaining a clean and orderly warehouse and office environment.
  • Maintain up-to-date service files, technical bulletins, and department records for shop reference.
  • Provide phone and office coverage, assist with department files, and ensure continuous workflow support.
  • Collaborate with supervisors and managers to troubleshoot service or parts concerns and follow directives in their absence.
  • Perform additional duties as assigned to support overall service and parts operations.
  • Collaborate in-person with all levels of the organization to harness collective intelligence of the workforce.
  • Attend all in-person meetings and trainings on recent developments, goals, and objectives. Participate in such discussions by offering input and advice.
  • Regularly engage remotely and in-person with customers and potential customers to establish rapport, open communication, and expectations.
  • Performs other duties as assigned.
  • Collaborate in-person with all levels of the organization to harness collective intelligence of the workforce.
What We’re Looking For:
Education
  • High school diploma or GED equivalent required
Experience
  • 1+ year in a similar service coordinator position required
  • Experience in parts management or related shop support role preferred
  • Transportation, Logistics, and/or Tech industry experience a plus

  • Strong organizational skills with keen attention to detail

  • Basic computer skills for order entry, recordkeeping, and inventory management

Physical Requirements:

While performing the duties of this job the employee is regularly required to talk or hear; frequently stands, walks, uses hands to finger, handle or feel; and reaches with hands and arms.

  • Must be able to stand for prolonged periods of time with full body weight.
  • Must be able to walk for prolonged periods of time.
  • Ability to sit for short periods of time.
  • Ability to reach with full shoulder movement for prolonged periods at heights over 72”and to reach/stretch across the midline for prolonged periods.
  • Ability to handle and grip for prolonged periods.
  • Ability to frequently crouch, squat and kneel to a minimum height of 18” and to crawl under a minimum height of 12”.
  • Must be able to frequently balance with no impairment, and frequently stoop to 30” minimum.
  • Ability to frequently climb stairs 12-24” without hand rail pulling full body weight.
  • Frequent up and down ramps and ladder 4-6 x12” steps with upper body strength.
  • Ability to occasionally push 200 +lbs, pull 100 + lbs, frequently push/pull 100/50 lbs and constantly push/pull 50/25 lbs.
  • Frequent exposure to vibration, loud noises, heights, confined spaces, awkward lifting loads and lifting up to 75 lbs. at heights between 6 and 9ft.
  • Ability to work in frequent temperature and humidity extremes
  • Ability to occasionally carry, lift overhead, low lift 70/50 lbs, frequently at 49/20 lbs and constantly from 19/1 lbs.
Work Environment / Physical Requirements – Normal office settings.
