Job summary

ADAPT Community Network in New York City is seeking a Coordinator of Operations to oversee day-to-day program operations across multiple sites. Under general supervision, you will support senior staff, ensure high-quality services, regulatory compliance, and the smooth functioning of facilities.

  • Ability to analyze operational challenges and implement effective solutions.
  • Proficiency in Microsoft Office Suite and electronic record systems.
  • Valid New York State Driver’s License preferred.
  • Ability to travel to multiple program locations.

Responsibilities

  • Oversee day-to-day operations of assigned programs; provide guidance to leadership and direct support staff to ensure person-centered services.
  • Conduct regular site visits to monitor compliance with OPWDD, agency, and health and safety standards.
  • Support recruitment, onboarding, training, and performance management of staff.
  • Assist in scheduling and staffing to ensure adequate coverage and quality care.
  • Maintain accurate records related to staff performance, training, and program compliance; document supervisory sessions and performance follow-up.
  • Respond to routine program and operational issues, escalating complex matters as appropriate.
  • Support implementation of agency policies and best practices across programs to ensure compliant service delivery.
  • Monitor facility maintenance, cleanliness, and safety; coordinate with Facilities to address issues.
  • Assist with reviewing and monitoring budgets, staffing patterns, and operational efficiency.
  • Participate in investigations, audits, and compliance reviews as directed.
  • Collaborate with interdisciplinary teams to develop and execute individualized, person-centered plans.
  • Serve as a liaison with families, advocates, and external providers to promote communication and satisfaction.

Summary

Under general supervision, the Coordinator of Operations is responsible for the day-to-day oversight and coordination of assigned program operations to ensure high-quality services, regulatory compliance, and efficient functioning of sites within ADAPT Community Network. This position provides support to the Senior Coordinator of Operations and Vice President of Program Services by assisting with personnel management, quality assurance, physical plant oversight, and program performance. The Coordinator of Operations ensures that programs are operated in accordance with agency policies, OPWDD regulations, and the organization’s mission and values.

Essential Duties And Responsibilities

Key duties and responsibilities of the Coordinator of Operations include but are not limited to:

  • Ensure that all measures for health, safety, and well-being are maintained at the highest level across assigned sites.
  • Oversee the daily operations of assigned programs, providing support and guidance to program leadership and direct support staff to ensure the delivery of person-centered services.
  • Conduct regular site visits to monitor compliance with OPWDD, agency, and health and safety standards.
  • Support the recruitment, onboarding, training, and performance management of staff in collaboration with the Senior Coordinator of Operations and Human Resources.
  • Assist in scheduling and staffing to ensure adequate coverage and quality care for the people supported.
  • Maintain accurate records related to staff performance, training, and program compliance; document supervisory sessions and performance follow-up.
  • Respond to routine program and operational issues, escalating complex matters to the Senior Coordinator of Operations as appropriate.
  • Support the implementation of agency policies, procedures, and best practices across assigned programs to ensure consistent and compliant service delivery.
  • Monitor facility maintenance, cleanliness, and safety standards; coordinate with Facilities or appropriate departments to address issues promptly.
  • Assist with reviewing and monitoring budgets, staffing patterns, and operational efficiency within assigned programs.
  • Participate in investigations, audits, and compliance reviews as directed.
  • Collaborate with interdisciplinary teams to ensure the development and execution of individualized, person-centered plans.
  • Serve as a liaison with families, advocates, and external providers to promote communication, engagement, and satisfaction.
  • Participate in agency and program meetings, committees, and work groups as assigned.
  • Support continuous improvement initiatives to enhance service quality, staff development, and program effectiveness.
  • Maintain strict confidentiality regarding all sensitive information related to staff, individuals supported, and agency operations.
  • Perform other related duties as requested.
Qualifications
  • Minimum of three (3) years of supervisory or program coordination experience, preferably within the developmental disabilities field.
  • Strong understanding of OPWDD regulations and person-centered service delivery.
  • Excellent communication, organizational, and interpersonal skills with the ability to collaborate effectively across teams and levels of the organization.
  • Demonstrated ability to analyze operational challenges and implement effective solutions.
  • Proficiency in Microsoft Office Suite and electronic record systems.
  • Ability to maintain confidentiality and professionalism in handling sensitive information.
  • Valid New York State Driver’s License is preferred.
  • Ability to travel to multiple program locations and administrative offices, as needed.

COMPENSATION

$85,000 - $90,000 Annually + Industry-Leading Benefits!
