Job summary

FFF Enterprises is seeking an Intake Coordinator to manage referrals for patient care services. You will determine eligibility, obtain authorizations, and coordinate with pharmacy, nursing, and client service teams to initiate services.

Responsibilities include data gathering, communicating with referral sources, and ensuring financial obligations are arranged prior to service initiation. Uphold HIPAA and company policies while delivering professional, client-focused service.

Qualifications

  • High School diploma or equivalent required.
  • 1 year health care related experience in pharmacy/home healthcare/infusion setting or hospital preferred.
  • Benefit verification and prior authorizations experience preferred.
  • Knowledge of medical and pharmacy terminology and calculations helpful.

Responsibilities

  • Answer phones with professional etiquette and liaison with referrers, patients, families, clinicians and payors.
  • Initiate intake by gathering data needed to admit patient to NuFACTOR services.
  • Notify departments of new referrals and coordinate information among referral sources, clinicians and sales.
  • Determine patient financial obligation, out-of-pocket expenses and copays; arrange payments.
  • Complete start of care paperwork and ensure signed copies returned to NuFACTOR system.
  • Enter referral information into NuFACTOR and maintain assessments and notes.

The Intake Coordinator is responsible for the acceptance, processing and coordination of all referrals for patient care services. Determines eligibility and benefits for new referrals or readmissions, obtains authorizations and secures financial obligations for new admissions or readmissions. Coordinates with pharmacy, nursing and client service specialists to initiate patient care services.

Essential Functions and Duties
  • Answers telephones utilizing appropriate etiquette and speaks referral sources, patient, family members, clinicians and payors.
  • Initiates the intake process gathering relevant data from the referral source required to admit patient to NuFactor services.
  • Notifies departments of new referrals and coordinates information amongst referral sources, clinicians and sales. Provide appropriate documentation to clinical departments for initiation of services.
  • Determines patients financial obligation, out of pockets expense and copays. Contacts patients prior to start of services to discuss financial obligations and make arrangements for payments.
  • Completes start of care paperwork for patient signature ie; admissions agreement, financial obligation, advanced beneficiary notice, compassionate care application as required prior to initiation of services and tracks the return of signed copies within NuFACTOR system of record.
  • Enters complete referral information into NuFACTOR system of record. Enters all communications and updates in assessments and notes while admitting patients for service.
  • Complies with all NuFactor policies and procedures and compliance requirements when engaging in activities related to the company.
  • Adheres specifically to all company policies and procedures, Federal and State regulations, and laws.

Education, Knowledge, Skills and Experience
Required Education:
  • High School diploma or equivalent required.
Preferred Knowledge:
  • One (1) year health care related experience in a pharmacy, home healthcare, infusion related setting or hospital is preferred.
Preferred Experience:
  • Benefit verification and prior authorizations for specialty medications.

  • Ability to work with a high degree of accuracy in an organized, detail oriented manner with appropriate follow-up when required.
  • Ability to communicate effectively and at the appropriate level with healthcare professionals and peers.
  • Ability to prioritize work and make decisions independently and effectively, often quickly in response to dynamic patient needs, with limited supervision and direction, except where required/restricted by law.
  • Working knowledge of state, federal and Joint Commission guidelines/regulations/laws.
  • Ability to exercise discretion and maintain confidentiality to the level of required HIPAA standards.
  • Ability to use and understand Microsoft Office skills and internet technologies.

Physical requirements

Vision, hearing, speech, movements requiring the use of wrists, hands and/or fingers. Must have the ability to view a computer screen for long periods and the ability to sit for extended periods. Must have the ability to work the hours and days required to complete the essential functions of the position, as scheduled. Must have the ability to lift and maneuver items of at least 20 lbs. Must have the ability to travel occasionally. Working condition include normal office setting.

Must be able to pay close attention to detail and be able to work as a member of a team to ensure excellent customer service.
