Job summary

Hapag-Lloyd AG is seeking a Coordinator Customer Service - Invoicing in Atlanta, GA. You will coordinate invoicing and collaborations across departments to ensure timely billing and accurate reporting, while supporting process excellence initiatives.

In this role you will handle OUFC, generate analytical reports, and participate in cross-functional discussions to resolve daily invoicing concerns. A associate degree and shipping industry exposure are preferred.

Qualifications

  • Associates Degree required and 2 years’ experience in the Maritime Industry preferred.
  • Effective communication with diverse customers and stakeholders.
  • Strong organizational and analytical skills.

Responsibilities

  • Accurate handling of invoicing reporting requirements and maintain SOPs.
  • Monitor and manage outstanding shipments to be invoiced (OUFC); freight invoiced within 5 days of discharge, up to 15 days from activity.
  • Participate in cross-functional meetings with CS departments to resolve invoicing concerns.
  • Adhere to PREX – Process Excellence; follow detailed HIP processes.
  • Create reports and analyze data to inform decisions.

Coordinator Customer Service - Invoicing

Job Description

At Hapag-Lloyd, we will support the further development of your skills in our culturally diverse, stimulating environment, as you help us grow our customer base. As the Coordinator of Sales Steering Imports, you will coordinate sales efforts to maximize both volume and contribution levels in the export and import trades and drive customer performance, quality, and satisfaction. In close alignment with the Trade Management department, you will establish new business opportunities and acceptable rates for customers that meet and exceed expectations.

Responsibilities
  • Accurate handling of invoicing reporting requirements / Maintain SOP (as applicable)
  • Monitor and handling of OUFC (outstanding shipments to be invoiced) - Freight to be invoiced with 5 days of discharge / departure. Time pending, max of 15 days from activity.
  • Participate in cross-functional meetings, with other CS departments, discussing solutions for daily invoicing concerns
  • Adherence to PREX - Process Excellence, process as detailed HIP
  • Creation of report and analyze data
Qualifications
  • Associates Degree required and 2 years’ experience in the Maritime Industry preferred
  • Convey information clearly over the phone and express patience, empathy and understanding with the voice alone.
  • Ability to understand and communicate with people whose native language is different from your own.
  • Ability to be polite when asking people to repeat, calm those who are angry and manage multiple calls effectively.
  • Knowledge and understanding of most shipping terms, routing, schedules and the general practices of various countries, carriers, ports and terminals for job assignments.
  • Excellent written and verbal communication, including active listening and report writing.
  • Excellent organizational skills and attention to detail
  • Strong analytical, problem-solving, and math skills
  • Proficient in MS Office (e.g. MS Teams, Excel, PowerPoint, etc.) and other software appropriate to work demands
  • This position is in the United States and requires eligibility to work int he US and completion of the employment eligibility form required under federal law upon hire.
