Job summary

Marquette University in Milwaukee seeks a part-time Coordinator, Budget and Grants to manage grant budgets, financial statements and reporting. You will coordinate p-card expenses, consultant contracts with community partners, and grant budgets and forecasts.

The role supports grant activities, collects materials for submissions, drafts narratives, and helps streamline budget processes across departments in the Social & Cultural Science division.

Qualifications

  • Bachelor's degree in Business management/administration or related field.
  • Proficiency with Microsoft Office, COUPA, Myjobs, Outlook.
  • 1+ year of experience in budgeting, grants or related finance roles.
  • Strong communication and organizational skills.

Responsibilities

  • Manage grant calendar with regards to reports, end dates, extensions.
  • Coordinate and draft budget narratives for grant reporting.
  • Maintain projected annual grant budgets and forecasting.
  • Provide monthly projections of operating budget and project expenses.
  • Coordinate with ORSP, financial units and departments for compliance and reporting.
  • Draft contracts and manage processes for consultants.
  • Develop and streamline budget and grant processes.
  • Support purchasing for programs using COUPA vendor site.
  • Track and reconcile p-card expenses.
  • Support project work related to grant and logistics needs.

Coordinator, Budget and Grants Posting Number: 201104819 Employment Status: Part Time Job Family: Financial Operations

Position Overview

Manages and coordinates program budgets, grant financial statements and reconciliations. This includes managing p-card expenses, consulting contracts with community partners, and grant and budget reports. This position will also provide support in grant-related activities such as reporting budget information and collecting materials for grant report submissions. Finally, this position will develop new program processes for these various budget and grant duties.

Duties and Responsibilities
  • Manage grant calendar with regards to grant reports, end dates, no-cost extension deadlines, etc.
  • Coordinate and draft budget narratives for grant reporting
  • Maintain projected annual grant budgets and forecasting
  • Provide monthly projections of operating budget and project expenses
  • Coordinate with ORSP, financial units and departments (e.g., accounts payable, grants accounting and reporting, college budget office) for compliance and reporting
  • Draft contracts and manage contract processes for all consultants
  • Develop and streamline expense and budget processes
  • Supports purchasing for programs using COUPA vendor site
  • Track and reconcile p-card expenses
  • Supports project work related to grant and logistic needs

  • A minimum of one year of experience.
  • Experience managing multiple databases with excel and other data management apps

  • Manage busy calendars with other team members

Preferred Knowledge, Skills And Abilities
  • Knowledge Of Budget processes involving COUPA and MyJobs.
  • Experience with data tools such as R, Tableau, and PYTHON
