OneLife Health & Performance is a physician-owned, membership-based medical practice in Palm Beach Gardens, Florida. We deliver primary and concierge medicine alongside advanced diagnostics, regenerative medicine, hormone and peptide therapy, human performance, and aesthetics, entirely on a cash-pay basis. The practice has served communities in Florida for more than a decade.

OneLife recently moved into a 6,500 square foot flagship facility, launched new divisions, and grown its team to 30 employees. As the practice continues to grow, we are building the team and operating structure to support it.

POSITION SUMMARY

The Controller (Fractional) owns OneLife’s payroll, provider compensation, financial reporting, and the relationship with the practice’s outside bookkeeper and CPA. The Controller also manages all business and provider licensing for the practice. This role reports to the Chief Operating Officer and takes over the financial administration she manages today.

This is a hands‑on role with a fixed weekly and monthly cadence. The right candidate has run payroll and the monthly close for a medical practice or comparable service business, builds clear reporting from imperfect data, and works independently with sound judgment. The Controller works closely with ownership and department leaders, including business development and marketing, to give each of them accurate numbers on a set schedule.

POSITION REQUIREMENTS

• 5 or more years of experience as a controller or senior accountant, with healthcare or medical practice experience strongly preferred
• Hands‑on experience processing payroll in ADP
• Experience building and calculating provider compensation, commissions, and incentive pay
• Working knowledge of cash‑pay and membership revenue, including prepaid and deferred revenue
• Experience managing outside bookkeepers and CPAs and reviewing a monthly close
• Advanced Excel skills and experience with QuickBooks or comparable accounting software
• Ability to build reports from manual exports out of an EMR and a membership platform
• Designated backup coverage so that no payroll run depends on one person
• High discretion with compensation, financial, and patient‑adjacent data
• Experience managing business and provider licensing, including renewals and compliance deadlines
• CPA, or a degree in accounting or finance, preferred
• HR experience a plus. OneLife is also seeking fractional HR support, and the engagement can expand to include HR for a qualified candidate.

CORE RESPONSIBILITIES

• Own OneLife’s financial operations, including payroll, provider compensation, the monthly close, and financial reporting
• Own all business and provider licensing for the practice
• Serve as the primary contact for the outside bookkeeper and CPA
• Maintain financial controls, including approval limits and access to payroll and bank accounts
• Report on financial performance to ownership and recommend improvements

PAYROLL & PROVIDER COMPENSATION

• Prepare, process, and release biweekly payroll in ADP
• Maintain pay rates, deductions, PTO balances, and employee pay changes
• Track provider hours each pay period
• Calculate commissions and incentive pay according to each provider’s agreement, and reconcile against EMR
• Deliver a provider compensation statement before each pay date
• Answer team payroll questions and resolve errors promptly
• Coordinate year‑end W‑2 and 1099 reporting with the CPA

ACCOUNTING OVERSIGHT

• Review the monthly close, bank and merchant reconciliations, and membership revenue prepared by the bookkeeper
• Maintain the tax and filing calendar with the CPA and confirm every deadline is met
• Review vendor payments and expenses within the approval limits set by ownership
• Document the month‑end calendar and financial procedures

LICENSING & COMPLIANCE

• Maintain all business licenses, permits, and registrations for the practice
• Maintain provider licenses, DEA registrations, and related credentials for every provider
• Keep a renewal calendar and complete every renewal before its deadline
• Collect licensing documentation for new providers before their start date

FINANCIAL & KPI REPORTING

• Produce a monthly financial package for ownership covering the P&L, cash position, membership revenue, and KPIs
• Build and maintain KPI scorecards for department leaders, including business development and marketing
• Report budget against actual results and flag significant variances
• Replace the current outside monthly financial report with in‑house reporting

PERFORMANCE METRICS

• Payroll processed on time, with no unresolved errors
• Provider compensation statements delivered before each pay date
• Monthly financial package delivered by the 10th business day of the following month
• KPI scorecards updated monthly for ownership and each department leader
• Monthly close completed on the agreed schedule
• Tax and filing deadlines met
• No lapsed business or provider licenses
