Job description

Qualiphy is a telehealth infrastructure platform serving aesthetic, wellness, and IV therapy clinics. We connect patients from thousands of partner clinics across 48+ states to a nationwide network of licensed providers, and we handle good faith exams, prescribing infrastructure, compliance, and provider-clinic matching.

Qualiphy operates with a professional corporation (PC) structure, which means our finance function supports more than one legal entity, each with its own books, obligations, and regulatory boundaries. We are growing quickly and building the financial infrastructure a company of our scale and ambition requires.

The role

We are hiring a Controller to own accounting across the Qualiphy group of entities. This is a hands-on role: you will run the close, manage high-volume billing and collections from clinic partners, and build the systems and controls. You will be the person leadership relies on for an accurate, timely picture of how the business is performing, entity by entity and consolidated.

The right person has kept clean books in a multi-entity environment, is comfortable with high transaction volume at low ticket sizes, and understands that in healthcare, how money moves between entities is a compliance question as much as an accounting one.

What you will own
Multi-entity accounting and reporting
  • Maintain separate general ledgers for the MSO and PC entities and prepare GAAP-compliant monthly, quarterly, and annual financial statements for each, along with consolidated or combined reporting as appropriate.
  • Account for intercompany activity, including management services fees and cost allocations, in line with the governing agreements, and keep intercompany balances reconciled every month.
  • Own revenue recognition for per-consult, subscription, and platform fees, and ensure revenue is recorded in the correct entity.
  • Run a close process that is documented, repeatable, and completed on a defined schedule.
  • Deliver a monthly finance package to leadership covering P&L by entity, cash position, AR aging, unit economics, and variance to budget.
Controls, audit readiness, and compliance

Design and enforce internal controls, approval authorities, and segregation of duties appropriate to a growing multi-entity company.

  • Prepare the company for external audit and financial due diligence, including quality-of-earnings reviews, with clean documentation and supportable account balances.
  • Coordinate with outside CPAs on federal and state tax filings, and manage multi-state tax registrations, nexus analysis, and sales tax obligations as we operate across 48+ states.
  • Work with General Counsel and outside healthcare counsel to ensure payment flows, partner payments, and intercompany arrangements are consistent with healthcare regulations and corporate practice of medicine rules with reporting to our General Counsel.
Billing, accounts receivable, and collections
  • Own the billing cycle for thousands of clinic partners, ensuring invoices and card charges are accurate, timely, and tied to actual consult volume.
  • Reconcile payment processor activity (Stripe, Authorize.net, or similar) against platform usage data and the general ledger, including failed payments, refunds, and chargebacks.
  • Monitor AR aging and DSO, conduct direct and professional outreach to delinquent clinic partners, and build payment plans where appropriate.
  • Recommend write-offs and bad debt reserves, and coordinate with leadership and counsel on account suspensions or third-party collections.
Accounts payable, payroll support, and cash
  • Run AP end to end, from invoice intake and coding to approval routing and disbursement, and maintain W-9s and issue 1099s for contractors and vendors.
  • Support multi-state payroll for W-2 clinical staff by partnering with our payroll provider on state registrations, withholding, and payroll accounting.
  • Manage bank reconciliations for every entity, maintain a rolling 13-week cash forecast, and optimize working capital.
  • Build and maintain the annual budget and operating model with leadership.
Systems and automation
  • Select, implement, and maintain the accounting, AP automation, and billing stack, integrated with our platform data wherever possible.
  • Reduce manual entry and reconciliation work so the function scales with consult volume rather than headcount.
What you bring
  • 7+ years of progressive accounting experience, including at least 3 years as a Controller, Assistant Controller, or Accounting Manager owning the close.
  • Hands-on experience accounting for multiple legal entities, including intercompany transactions and consolidation.
  • Healthcare finance experience strongly preferred, particularly with MSO/PC or other physician-owned practice structures, telehealth, or healthcare services.
  • Experience in high-volume, transaction-heavy businesses such as SaaS, marketplaces, or payments.
  • Experience preparing a company for audit or financial due diligence.
  • Strong working knowledge of US GAAP, revenue recognition, internal controls, and multi-state tax considerations.
  • Advanced proficiency in QuickBooks Online, NetSuite, or Xero, and in billing and AP tools such as Stripe, Authorize.net, Bill.com, or similar. Experience with a CRM such as Salesforce is a plus.
  • Bachelor's degree in Accounting or Finance. CPA strongly preferred.
  • The judgment and communication skills to handle sensitive collection conversations with clinic partners and to escape compliance questions early.
  • Comfort building process where none exists yet, and doing the work yourself.
