Responsibilities

  • Oversees daily accounting activities, including recording, verifying, and posting financial transactions.
  • Manages daily bank reconciliations and ensures accurate processing of deposits.
  • Monitors cash flow and liquidity to ensure funds for operations.
  • Reconciles and resolves financial discrepancies in a timely manner.
  • Maintains the general ledger and accuracy of journal entries and classifications.
  • Leads month-end and year-end closing and prepares internal financial statements.
  • Supports internal controls and financial policies compliance.
  • Reviews biweekly payroll submissions for accuracy and compliance.
  • Monitors quarterly payroll tax filings and alignment with regulations.
  • Oversees purchasing activities and vendor payments.
  • Ensures adherence to procurement policies.
  • Reconciles and manages federal grant funds and grant draws.
  • Tracks and manages fixed assets and depreciation.
  • Prepares schedules for annual financial audit and responds to auditors.
  • Facilitates submission of annual 1099 forms and tax compliance.
  • Supervises and mentors Accounting Assistant.
  • Acts as acting finance lead in CFO’s absence.
  • Assists in budget development and monitoring.
  • Conducts ad hoc financial analysis for departmental decisions.
  • Performs other duties as assigned.

Job description

The Controller is responsible for managing the organization’s daily financial operations to ensure accuracy, compliance, and timeliness in all accounting functions. Reporting directly to the Chief Financial Officer (CFO), this role oversees general ledger management, reconciliations, cash flow, accounts payable, financial reporting, and grant accounting. The Controller ensures that all financial activities are executed effectively and supports the CFO in maintaining fiscal health and internal controls.

Essential Duties and Responsibilities:

  • Oversees daily accounting activities, including recording, verifying, and posting financial transactions.
  • Manages daily bank reconciliations and ensures accurate processing of deposits.
  • Monitors cash flow and liquidity to ensure sufficient funds for operations.
  • Reconciles and resolves financial discrepancies in a timely manner.
  • Maintains the general ledger and ensures accuracy of journal entries and account classifications.
  • Leads month-end and year-end closing processes and prepares and distributes timely internal financial statements and reports.
  • Supports ongoing compliance with internal controls and financial policies.
  • Reviews biweekly payroll submissions for accuracy and compliance.
  • Monitors quarterly payroll tax filings and ensures alignment with regulations.
  • Oversees purchasing activities, including vendor setup, invoice processing, and payment scheduling.
  • Ensures adherence to organizational procurement policies and procedures.
  • Reconciles and manages federal grant funds, including Federal 330 Grant draws.
  • Tracks and manages fixed assets; maintains asset ledger and depreciation schedules.
  • Ensures accurate coding and reporting of grant-related expenses.
  • Prepares schedules and documentation for the annual financial audit.
  • Responds to auditor inquiries and implements audit recommendations.
  • Facilitates the submission of the annual 1099 forms and ensures other tax-related compliance.
  • Supervises and mentors the Accounting Assistant.
  • Serves as acting finance lead in the absence of the CFO.
  • Assists in the development and monitoring of the annual operating budget.
  • Conducts ad hoc financial analysis to support departmental decisions.
  • Performs other duties and special projects as assigned by the CFO.

Physical Demand and Working Environment:

Fast‑paced office setting with travel to other offices often. Lifting and/or exerting force up to 15 pounds occasionally, with frequently moving of objects. Work requires speaking, sitting, bending, walking, standing, hearing, and stooping, kneeling, and repetitive motion with certain activities. 8 hours of constant computer usage. OSHA low-risk position.
