Job summary

AirConnect is seeking a CONTRACTOR RECRUITER to grow and maintain its nationwide HVAC contractor network. You will recruit independent contractors, collect onboarding documents, set up payments, and enter each contractor into Salesforce so they are ready to receive work orders.

This role partners with dispatch and customer service to fill coverage gaps and ensure compliance, with a focus on high-volume outreach and precise data management in a fast-paced environment.

Qualifications

• Currently enrolled in or recently graduated from a relevant program (Construction, Business).
• Strong organizational and time management skills.
• Excellent written and verbal communication abilities.
• Experience with Salesforce or other CRMs is preferred.
• Willingness to learn HVAC terminology and industry practices.

Responsibilities

• Identify and research HVAC service companies nationwide, prioritizing markets with open orders.
• Call and email contractors to recruit them to join AirConnect's network.
• Collect onboarding documents: W-9, COI meeting coverage, HVAC license, and contractor agreement.
• Verify contractor information including tax ID, insurance, and active licenses.
• Enter new contractors into Salesforce with company details and contacts.
• Set up payment terms and ACH information with Accounting.
• Track expirations and keep COIs, licenses, and agreements current.
• Maintain onboarding status records from initial contact to activation.
• Partner with Customer Service and Dispatch to fill coverage gaps.
• Support reporting on contractors contacted, onboarded, and activated.

JOB SUMMARY

The CONTRACTOR RECRUITER will grow and maintain AirConnect’s nationwide network of HVAC service contractors. This role contacts HVAC companies across the country, recruits them to perform service work for AirConnect clients, and completes full vendor onboarding – collecting compliance documents, setting up payment, and entering each contractor into Salesforce so they are ready to receive work orders. This is a vendor recruiting role, not an employee hiring role; contractors are independent businesses, not AirConnect employees.

JOB DUTIES AND RESPONSIBILITIES

• IDENTIFY and research HVAC service companies nationwide, prioritizing markets with open work orders, client sites, or limited contractor coverage.
• CALL and email HVAC contractors to introduce AirConnect, explain how we work (dispatch process, NTEs, photo and documentation requirements, and invoicing), and recruit them to join our contractor network.
• COLLECT required onboarding documents, including a signed W-9, a Certificate of Insurance (COI) that meets AirConnect’s coverage requirements, a copy of the contractor’s HVAC license, and the signed contractor agreement.
• VERIFY contractor information, including legal business name, tax ID, insurance coverage and expiration dates, and that HVAC licenses are active and valid in the states where the contractor will work.
• ENTER new contractors into Salesforce, including company details, service area, trades and capabilities, labor and trip rates, and dispatch, office, and billing contacts.
• SET UP payment terms and ACH banking information in coordination with Accounting so contractors are paid accurately and on time.
• TRACK document expiration dates and follow up with contractors to keep COIs, HVAC licenses, W-9s, and agreements current so every active contractor remains compliant.
• MAINTAIN accurate onboarding status and records for every contractor, from first contact through activation.
• PARTNER with Customer Service and dispatch to fill coverage gaps, respond to urgent sourcing needs, and confirm newly onboarded contractors are ready to accept work.
• SUPPORT reporting on contractors contacted, onboarded, and activated, along with contractor coverage by market.
• PERFORMS OTHER ESSENTIAL DUTIES AS ASSIGNED.

KNOWLEDGE, SKILLS AND ABILITIES

• Knowledge of basic office procedures and administrative practices
• Strong phone presence and comfort making a high volume of outbound calls to business owners
• Skilled in written and verbal communication, with the ability to explain AirConnect’s processes clearly and persuasively
• Skilled in accurate data entry; experience with Salesforce or another CRM preferred
• Ability to manage many contractors at different onboarding stages and follow up persistently until each file is complete
• Ability to manage multiple tasks and meet deadlines in a fast-paced environment
• Ability to follow instructions and work with minimum supervision
• Ability and willingness to learn HVAC terminology and the facilities service industry
• Ability to maintain confidentiality of contractor, customer, and company information, including tax and banking details

MINIMUM QUALIFICATIONS

Currently enrolled in or recently graduated from a relevant program (Construction, Business)

Basic proficiency in Microsoft Office (Excel, Outlook, Word)

Strong organizational and time management skills

Effective written and verbal communication skills

Willingness to learn and adapt in a dynamic environment

SPECIAL QUALIFICATIONS

Must pass a criminal background check

Must have a valid driver’s license

Must have and maintain a good driving record
