CBRE is seeking a Contract Support Associate to provide administrative support to clients and contracts at the Barker, NY data center. The role focuses on understanding contract scope, operating internal systems to standards, and delivering accurate reporting and data quality improvements.

The position is day shift, on-site, with responsibilities spanning billing, POs, cost-saving initiatives, and reporting. A strong background in contract management and client service is preferred.

Responsibilities

  • Build and review management reports (P&L, WIP, Debt, OPOs, Invoice Pools).
  • Coordinate the billing application, margin calculations, invoicing and client submission; raise POs for vendor submission.
  • Support management’s cost-saving initiatives to improve financial savings targets.
  • Compile data for the monthly Contract Review to ensure SOX compliance and assist with related materials.
  • Understand contractual scope/commitments and drive high-quality commercial performance.
  • Maintain outstanding client and vendor relationships and coordinate supplier data and reporting.

About The Role

In this role, you will provide exceptional customer service and comprehensive administrative support to both the client and the contract. Success in this position requires a strong understanding of the contract scope, as well as familiarity with internal and client procedures, processes, and systems. You will be responsible for operating these systems to established standards, serving as a subject matter expert to ensure accurate reporting, maintain data quality, and promote best practices and process improvements. Additionally, you will manage billing activities, including revenue and debt management, to support compliance with contractual requirements and performance objectives.

Additionally, you will manage billing activities, including revenue and debt management, to support compliance with contractual requirements and performance objectives.

This is a day-shift position and requires on-site presence at the Data Center facility in Barker, NY.

What You’ll Do
  • Build and review management reports, such as: profit and loss (P&L), work in progress (WIP), Debt, Open Purchase Orders (OPOs) & Invoice Pools.
  • Coordinate the billing application, margin calculations, invoicing and client submission. Also, coordinate the raising of Purchase Orders (POs) for vendor submission.
  • Support management’s efforts to implement cost saving opportunities, ensuring customer and GWS financial savings targets are improved.
  • Compile data for the monthly Contract Review to ensure compliance with Sarbanes Oxley (SOX). And, support the preparation and delivery of said review and Business Unit Review materials.
  • Complete all necessary activities to understand the contractual scope/commitments and drive high quality commercial performance.
  • Maintain any/all activities that will provide outstanding client and vendor relationships, ensuring success in: improved buying and use of preferred suppliers, conducting supplier surveys on MySupplier and/or other systems, compilation of the Customer Monthly Management Report, compilation and reporting from the work management systems, and supporting coordination of sub-contractor files and statutory compliance.
What You’ll Need
  • High School Diploma/GED required, with 2-4 years of experience in contract management, client care at financial institutions or similar background, preferred.
  • Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.
  • Ability to write routine reports and correspondence.
  • Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.
  • Ability to optimally present information to an internal department and/or large groups of employees.

CBRE carefully considers multiple factors to determine compensation, including a candidate’s education, training, and experience. The minimum salary for the Contract Support Associate role is $75,000 annually and the maximum salary for the Contract Support Associate position is $80,000 annually. The compensation offered to a successful candidate will depend on their skills, qualifications, and experience. Successful candidates will also be eligible for a discretionary bonus based on CBRE’s applicable benefit program.
