About Fillmore Contracts LLC

Fillmore Contracts LLC is a nationally recognized SBA 8(a) and WOSB-certified federal Prime Contractor, delivering exceptional results in construction, facility maintenance, logistics, and environmental services. With active performance in over 24 states and 200+ vetted trade partners nationwide, we are entering a new growth phase that demands highly skilled professionals who thrive in high-impact environments.

Position Summary

We’re looking for a Contract Management Specialist who is sharp, agile, and deeply familiar with the federal acquisition lifecycle. You will work directly with the CEO and interface daily with our Operations and Proposal teams to ensure compliant, profitable, and strategically aligned execution of all contract obligations. You are expected to track, manage, and mitigate risk across a portfolio of contracts spanning multiple agencies, while also being a central player in post-award performance and administration.

This is not a desk-only role... we’re looking for a team member who takes ownership, thinks ahead, and communicates clearly across internal and external stakeholders.

Key Responsibilities:

Contract Oversight & Compliance

  • Support end-to-end contract lifecycle management (pre-award through closeout)
  • Review, interpret, and summarize FAR clauses, contract modifications, and delivery/task orders
  • Maintain updated contract files and documentation in SharePoint & D365
  • Ensure compliance with federal requirements (Davis-Bacon, SCA, Buy American, etc.)

Client and Subcontractor Interface

  • Serve as a key point of contact with federal agencies for post-award questions, deliverables, and modifications
  • Assist in drafting and managing NDAs, teaming agreements, and subcontractor flow-down clauses
  • Track key milestone deliverables, performance reports, and vendor certifications

Operations Support

  • Partner closely with the CEO and Director of Operations to translate contract requirements into action plans
  • Support project onboarding by providing SOW clarity, compliance checklists, and contract-specific deliverables
  • Assist with change order pricing, equitable adjustments, and definitization support

Reporting & Risk Management

  • Maintain risk registers for contracts and escalate early warning signs (e.g., potential delays, non-compliance, etc.)
  • Track and report on CPARS-relevant performance metrics
  • Support internal audits and monthly contract status reviews
Ideal Candidate Profile
  • Experience: 3+ years in federal contracting, contract administration, or procurement roles
  • Preferred: Experience working with construction, facility services, or environmental service contracts
  • Knowledge: FAR, DFARS, agency-specific supplements (USACE, USDA, VA, GSA)
  • Tools: Proficiency with SharePoint, Microsoft 365 Suite, Adobe Pro, ProjectManager.com, and D365 or other ERP systems
  • Skills: Detail-oriented, strong writing, analytical thinking, proactive communicator, confident with deadlines
What You Can Expect
  • Direct exposure to the CEO, agency clients, and high-level strategy conversations
  • A fast-paced, entrepreneurial culture where your input will directly shape growth
  • Clear performance KPIs and internal systems designed to streamline delivery
  • Growth potential into Senior Contract Administrator or Compliance Director roles
Compensation & Benefits
  • Competitive salary (commensurate with experience)
  • Quarterly performance bonuses
  • Access to high-impact federal mentorship and leadership coaching
  • Flexible schedule options with some remote flexibility
  • Opportunities to travel to client sites and federal conferences

Interested applicants should submit a resume, a brief cover letter highlighting relevant federal contract experience, and any relevant sample deliverables (e.g., compliance matrix, CPARS summary, contract checklist) to contracts@fillmorecontracts.com.
