EOI Space is growing quickly and looking for a Contract Administrator to support our contracting and compliance functions. Reporting to the Senior Contracts Manager, this role works closely with cross-functional teams to keep contracts accurately tracked, documented, processed, and maintained throughout their lifecycle and to support the consistent execution of established contracting and compliance processes. The ideal candidate is highly organized, detail-oriented, proactive, and thrives in a fast-paced environment where priorities evolve quickly. The successful candidate will have strong follow-through, sound judgement, and the ability to identify issues that should be escalated to the Senior Contracts Manager.

What You Will Do

The Contract Administrator supports the Senior Contracts Manager in the preparation, administration, and management of contracts, subcontracts, non-disclosure agreements, master service agreements, statements of work, consulting agreements, vendor agreements, and customer contracts. This role maintains contract and compliance records, coordinates reviews and approvals, tracks deliverables and contractual obligations, and ensures documentation is complete, accurate, and organized. The Contract Administrator will also provide administrative support for compliance, regulatory, and corporate governance activities managed by the Senior Contracts Manager.

This role is responsible for helping ensure established contracting and compliance procedures, templates, approval requirements, and recordkeeping processes are consistently followed across the organization. This role plays an important part in supporting an efficient and well-organized contracting function as EOI Space continues to grow.

Responsibilities
  • Support the preparation, review, routing, execution, and administration of contracts, subcontracts, NDAs, MSAs, SOWs, consulting agreements, vendor agreements, and customer agreements.
  • Prepare, route, and track non-disclosure agreements (NDAs) and other routine agreements using established templates, playbooks, and standard terms; identify deviations or non-standard provisions and upscale them to the Senior Contracts Manager as appropriate.
  • Maintain contract files, databases, trackers, and document repositories to ensure accurate, organized, and up-to-date records.
  • Track contract expiration dates, renewal and termination deadlines, notices, reporting requirements, payment milestones, and other contractual obligations and communicate upcoming requirements to appropriate stakeholders.
  • Coordinate contract review and approval workflows across legal, finance, engineering, procurement, and leadership teams.
  • Assist with compliance (company policy, customer requirements, and government regulations), audits, and data requests, and coordinate with the Senior Contract Manager.
  • Support export compliance administration and recordkeeping, including conducting and maintaining screening records, authorizations, training records, and other documentation associated with export compliance.
  • Assist with regulatory and corporate governance administration by maintaining records, tracking deadlines, organizing supporting documentation, and coordinating required signatures, approvals, or submissions at the direction of the Senior Contracts Manager.
  • Coordinate signatures, document distribution, and filing of fully executed agreements.
  • Assist with preparation and administration of amendments, notices, certifications, representations, contract summaries, and other routine contract-related documentation.
  • Support vendor and supplier onboarding by collecting and maintaining required contractual and compliance documentation.
  • Support the consistent application of established contracting and compliance procedures, templates, approval workflows, checklists, and recordkeeping requirements; identify gaps, recurring issues, or opportunities for improvement and raise them with the Senior Contracts Manager.
  • Respond to routine internal questions regarding contracting processes, documentation requirements, and agreement status, escalating substantive contractual, legal, regulatory, or compliance matters to the Senior Contracts Manager.
  • Provide organizational and administrative support to the Senior Contracts Manager across contracting, compliance, regulatory, corporate governance, and related activities as needed.
Required Qualifications
  • 2-5 years of experience in contract administration, contract coordination, vendor management, legal or procurement support, compliance administration, project coordination, or a related field.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Ability to manage multiple priorities, deadlines, and stakeholders simultaneously.
  • Ability to work effectively within established procedures and approval requirements, exercise sound judgment on routine matters, and recognize when an issue or exception requires escalation.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Ability to work effectively with cross-functional teams in a collaborative, fast-paced environment.
Preferred Qualifications
  • Bachelor's degree in Business Administration, Legal Studies, Finance, Public Administration, or a related field; equivalent experience may be considered.
  • Experience with vendor or supplier management.
  • Experience administering commercial agreements, NDAs, SOWs, consulting agreements, or vendor agreements.
  • Experience supporting government contracts, aerospace, defense, or technology organizations.
  • Familiarity with ITAR, EAR, FAR, and DFARS regulations.
  • Experience supporting audits, compliance programs, or regulatory documentation.
  • Experience with SharePoint, ERP systems, contract management systems, or other document-management and workflow tools.
  • Experience supporting corporate governance, legal operations, or corporate recordkeeping is a plus.
Compensation

The salary range for this role is $80,000-$100,000 per year, depending on previous experience. Pay ranges are determined by role, level, location, and alignment with market data. Individual pay will be determined on a case-by-case basis and may vary based on the following considerations: interviews and an assessment of several factors that are unique to each candidate, job-related skills, relevant education and experience, certifications, abilities of the candidate, and internal equity.
