Job summary

Job description

POSITION SUMMARY:

The Contingent Workforce Compliance Coordinator is responsible for the end-to-end onboarding, credentialing coordination, and compliance management of the hospital’s contingent workforce, including contracted staff, vendors, independent contractors, agency personnel, students, volunteers and other affiliated partners. This position ensures that all non-employees complete required onboarding, screening, health, safety, training, and access requirements based on their role before receiving access to hospital systems and duties. The coordinator serves as the primary liaison between Human Resources, departments, vendors, and external partners to ensure regulatory readiness and alignment with organization policies, CMS, Joint Commission, and other applicable standards.

ESSENTIAL DUTIES:
  • Manage and complete the onboarding lifecycle for contingent workforce members ensuring all required compliance requirements are completed prior to facility access, system access, or patient-facing activities.
  • Coordinate with Employee Health to verify required health documentation and occupational health requirements, including immunization records (e.g., Flu, TB, COVID-19) based on role as required.
  • Partner with HR Coordinator, HR Clerk, IT and Security to facilitate system access, network accounts, facility access, and ID badges as appropriate. Ensure access is granted only after required compliant requirements are successfully completed.
  • Coordinate onboarding activities for students, volunteers, and clinical trainees. Partner with academic institutions and department leaders to ensure required agreements, including clinical affiliation/rotation agreements, are completed and maintained.
  • Schedule new hire orientation for non-employees including training such as HIPAA, safety codes, and the hospital’s Code of Conduct as well as other applicable training requirements based on duties.
  • Maintain accurate digital personnel files for all non-employees to ensure the hospital and other ancillary locations ensuring survey readiness for Joint Commission, or CMS audits.
  • Conduct periodic audits to identify gaps, resolve compliance issues, and ensure documentation integrity.
  • Prepare reports and provide updates to leadership regarding upcoming contingent workforce onboarding needs, compliance status, and risks.
  • Serve as the primary point of contact for all non-employee partners, onboarding inquiries and compliance adherence.
  • Establish and maintain effective partnerships with department leaders, vendors, educational institutions, and external agencies.
  • Conduct regular communication with HRBPs and leaders to anticipate onboarding needs and ensure timely preparation.
KNOWLEDGE, SKILLS, AND ABILITIES:
  • Exceptional attention to detail with ability to manage multiple priorities and deadlines.
  • Strong organizational skills with the ability to maintain accurate documentation and tracking systems
  • Strong understanding of onboarding, compliance, credentialing, and workforce processes.
  • Knowledge of healthcare regulatory requirements including HIPAA, CMS, and Joint Commission.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Proficiency with HRIS, ATS, and document management systems (e.g. ADP).
  • Strong communication skills (written and verbal) with the ability to collaborate effectively with internal and external stakeholders
EDUCATION, EXPERIENCE, AND OTHER REQUIREMENTS:
  • Education: Associate degree preferred. Bachelor’s degree in HR, Business Administration, Healthcare Management, or related field preferred.
  • Experience: 1–3 years in employment, talent acquisition, recruiting, credentialing, or medical staff services required.
WORK ENVIRONMENT
  • Primarily office-based with occasional travel for recruitment events or training.
PHYSICAL REQUIREMENTS
  • Prolonged periods sitting at a desk and working on a computer.
