The Construction Coordinator supports the Development Department by managing the financial administration of construction projects from project inception through closeout. This position is responsible for maintaining accurate job cost records, processing construction billings, monitoring project budgets, reconciling project costs, and ensuring compliance with contractual and accounting requirements.
The ideal candidate has a strong background in construction accounting, understands job costing methodologies, and is highly organized with exceptional attention to detail. Success in this role requires the ability to manage multiple projects simultaneously while working collaboratively with Development, Accounting, contractors, vendors, and consultants to ensure timely and accurate financial reporting.
Responsibilities
- Maintain accurate job cost records for multiple construction projects, including tracking budgets, commitments, actual costs, budget variances, and project reconciliations.
- Review, process, and reconcile contractor pay applications, invoices, progress billings, draw requests, purchase orders, change orders, and other project costs, ensuring proper coding and timely payment.
- Administer construction contract documentation, including vendor contracts, AIA forms, lien waivers, Certificates of Insurance (COIs), and other compliance-related records.
- Coordinate project funding activities by preparing draw packages, monitoring reimbursable expenses and allowances, and supporting lender or internal funding requirements.
- Manage project financial records and closeout documentation, ensuring all required documentation, final billings, and reconciliations are completed accurately.
- Prepare and distribute project financial report and identify discrepancies
- Maintain project information within Yardi, SmartSheets, Microsoft Project, and other systems while supporting vendor onboarding and document management.
- Collaborate with internal departments, contractors, vendors, and consultants to resolve financial issues, ensure compliance, and support successful project execution.
Skills
- 2-3 years of experience within construction industry accounting; experience in a construction management company ideal
- 2-3 years of experience with a job costing system (Yardi Job Cost preferred, MRI ok)
- Understanding of construction contract standard provisions
- Experience with preparing and managing contracts, including vendor contracts, AIA forms, P.O.s, change orders, lien waivers and COIs
- Able to perform accounting and construction job cost reconciliations accurately
- Excellent organizational skills and focus on attention to details
- Effective communicator with strong written skills
- Must be proficient with Microsoft Outlook, Word, Excel, and Yardi
- Experience with Microsoft Project required
- Construction Accounting degree or certificate preferred
