Job summary

W.E. O’Neil Construction in Northern CA (East Bay) is seeking an experienced Project Manager to run a portfolio of fast-moving projects in occupied environments, including tenant improvements, renovations and office build-outs.

You’ll be the main contact for clients, design teams, and subcontractors, coordinating schedules, budgets, and closeout activities to keep projects moving with minimal disruption.

Qualifications

• 5+ years of project management experience with a general contractor in tenant improvement/occupied spaces.
• Experience managing multiple smaller fast-paced projects concurrently.
• Strong knowledge of contracts, subcontracts, change orders, and cost management.
• Ability to make quick, well-reasoned decisions with limited information.

Responsibilities

• Manage multiple projects from buyout through closeout, on budget, on schedule, and on scope.
• Serve as the daily contact for owners, tenants, property managers, and design partners.
• Coordinate work in occupied spaces with phased schedules and after-hours work to minimize disruption.
• Prepare and manage budgets, forecasts, and cost reports, and communicate any changes early to the client.
• Review bids, level scopes, and negotiate/subcontracts and purchase orders.
• Manage submittals, RFIs, change orders, and pay applications to keep work moving.

Description

W.E. O’Neil is looking for an experienced Project Manager in Northern CA ( East Bay) to run a portfolio of fast-moving projects in occupied and active environments. You’ll manage tenant improvements, renovations, office build-outs, retail, and smaller ground-up work, usually several at a time, from award through closeout.

These aren’t multi-year projects. Schedules are tight, clients are often open for business while you build, and decisions get made quickly. You’ll be the main point of contact for the client, the design team, and the subcontractors, and you’ll keep each job moving without disrupting the people working around it.

This role reports to a Project Executive and works closely with Superintendents, Estimating, and Accounting.

Key Responsibilities

• Manage multiple projects at once, from buyout through closeout, keeping each on budget, on schedule, and on scope
• Serve as the day-to-day point of contact for owners, tenants, property managers, and design partners
• Plan and coordinate work in occupied spaces, including phasing, after-hours work, tenant communication, and minimizing disruption
• Prepare and manage budgets, forecasts, and cost reports, and communicate changes to the client early
• Review bids, level scopes, and negotiate and issue subcontracts and purchase orders
• Manage submittals, RFIs, change orders, and pay applications so nothing sits waiting
• Build and update schedules with the Superintendent and keep subcontractors accountable to them
• Work with the field team to resolve issues quickly and keep work moving on site
• Track safety, quality, and contract compliance on every project
• Lead clean closeouts, including punch lists, warranties, and turnover documentation
• Keep client relationships strong so they come back for the next project

Skills, Knowledge and Expertise

• 5+ years of project management experience with a general contractor, ideally on tenant improvement, renovation, or other work in occupied spaces
• Proven ability to manage several smaller, fast-paced projects at the same time
• Strong working knowledge of contracts, subcontracts, change orders, and cost management
• Comfortable making sound decisions quickly with incomplete information
• Clear, confident communicator who can work directly with owners, tenants, and design teams
• Strong organizational skills and attention to detail under changing priorities
• Proficiency in Procore (or similar), Bluebeam, Microsoft Office, and scheduling software
• Bachelor’s degree in Construction Management, Engineering, or a related field preferred, or equivalent experience
• Experience with retail, office, healthcare, or other commercial tenant work is a plus
• Valid driver’s license and the ability to travel between project sites.
