Job summary

W.E. O’Neil is seeking a Construction Project Manager in Pleasanton, CA to run a portfolio of occupied-space projects, including tenant improvements and office builds. You will manage budgets, schedules, and client relationships, serving as the primary liaison among clients, design teams, and field staff.

The role reports to a Project Executive and collaborates with Superintendents, Estimating, and Accounting to keep projects moving and aligned with goals.

Qualifications

• 5+ years of project management with a general contractor, focusing on tenant improvements or occupied spaces.
• Ability to manage multiple small, fast-paced projects concurrently.
• Strong knowledge of contracts, subcontracts, change orders, and cost control.
• Decisive communicator with owners, tenants, and design teams.

Responsibilities

• Manage multiple projects from buyout to closeout, on time and within budget.
• Be the main contact for owners, tenants, property managers, and design partners.
• Plan work in occupied spaces, coordinating phasing and after-hours work to minimize disruption.
• Prepare budgets, forecasts, and cost reports; communicate changes early.
• Review bids, scope levels, and issue subcontracts and purchase orders.
• Manage submittals, RFIs, change orders, and pay apps; avoid bottlenecks.
• Develop and update schedules with the Superintendent; ensure subcontractor accountability.
• Coordinate with field team to resolve issues and keep progress.
• Track safety, quality, and contract compliance on all projects.
• Lead closeouts: punch lists, warranties, turnover docs.
• Maintain strong client relationships for repeat business.

Construction Project Manager

Compensation: $118,000 - $180,000 / year

Description

W.E. O’Neil is looking for an experienced Project Manager in Northern CA ( East Bay) to run a portfolio of fast-moving projects in occupied and active environments. You’ll manage tenant improvements, renovations, office build-outs, retail, and smaller ground-up work, usually several at a time, from award through closeout.
These aren’t multi-year projects. Schedules are tight, clients are often open for business while you build, and decisions get made quickly. You’ll be the main point of contact for the client, the design team, and the subcontractors, and you’ll keep each job moving without disrupting the people working around it.
This role reports to a Project Executive and works closely with Superintendents, Estimating, and Accounting.

Key Responsibilities

• Manage multiple projects at once, from buyout through closeout, keeping each on budget, on schedule, and on scope
• Serve as the day-to-day point of contact for owners, tenants, property managers, and design partners
• Plan and coordinate work in occupied spaces, including phasing, after-hours work, tenant communication, and minimizing disruption
• Prepare and manage budgets, forecasts, and cost reports, and communicate changes to the client early
• Review bids, level scopes, and negotiate and issue subcontracts and purchase orders
• Manage submittals, RFIs, change orders, and pay applications so nothing sits waiting
• Build and update schedules with the Superintendent and keep subcontractors accountable to them
• Work with the field team to resolve issues quickly and keep work moving on site
• Track safety, quality, and contract compliance on every project
• Lead clean closeouts, including punch lists, warranties, and turnover documentation
• Keep client relationships strong so they come back for the next project

Skills, Knowledge and Expertise

• 5+ years of project management experience with a general contractor, ideally on tenant improvement, renovation, or other work in occupied spaces
• Proven ability to manage several smaller, fast-paced projects at the same time
• Strong working knowledge of contracts, subcontracts, change orders, and cost management
• Comfortable making sound decisions quickly with incomplete information
• Clear, confident communicator who can work directly with owners, tenants, and design teams
• Strong organizational skills and attention to detail under changing priorities
• Proficiency in Procore (or similar), Bluebeam, Microsoft Office, and scheduling software
• Bachelor’s degree in Construction Management, Engineering, or a related field preferred, or equivalent experience
• Experience with retail, office, healthcare, or other commercial tenant work is a plus
• Valid driver’s license and the ability to travel between project sites.
