Job summary

New Look Contracting, Inc. is seeking a Project Coordinator who works with Project Managers and Estimators from start to finish on awarded contracts. The role includes processing contracts, securing insurance certificates, and coordinating with Sage Contractor 100.

You will prepare pay applications, manage subcontracts in Sage, support close-out, and assist with collections. A candidate with strong accounting basics, excellent communication, and 5 years in construction is preferred.

Job description

The Project Coordinator works closely with the Project Managers and Estimators from start to finish on awarded contracts for New Look Contracting, Inc.

Responsibilities: Below are the essential duties and responsibilities of the position; other duties may be assigned as directed:

  • Processes project-related contracts, including all subcontract agreements, obtaining and submitting certificates of insurance, requesting and receiving any project bond requirements, setting up subcontract pay application(s), participating in the completion of any DBE/WBE, etc., goal paperwork, and setting up the project within Sage Contractor 100. Works with subcontractors towards the goal of getting Master Subcontractor Agreements in place.
  • Prepares contract billing accurately and timely per project requirements and at the direction of the project manager, enters billing into Sage Contractor 100.
  • Prepares pay applications for subcontractors and enters into Sage Paperless for approval by the project managers; tracks changes in subcontracts on these pay applications for subcontractors to be informed of; Handles questions by subcontractors when it comes to disputes on quantities being paid and directs them to the project manager, when appropriate.
  • Leads the project close-out process, which includes, but is not limited to, obtaining and transmitting required documentation, including lien waivers, IC-134, and final quantity approval for pay applications; prepares and calculates the request for release of final retention; archives files for closed projects; pushes project managers to improve the timing of the close-out process.
  • Follows up on outstanding subcontractor payment issues, customer collection efforts on past due accounts.
  • Additional responsibilities may be added as necessary.

Qualifications: To perform this job successfully, a candidate would have the following:

  • Strong analytical and problem-solving skills
  • Solid understanding of basic accounting / generally accepted accounting principles
  • Excellent communication and interpersonal skills
  • Detail-oriented and highly organized
  • Skilled in time management and the ability to prioritize tasks
  • Personal initiative to follow through tasks until completion
  • Expert computer skills, specifically in Microsoft Office (Excel, Word, etc.)
  • Experience with Sage 100 Contractor, Sage Paperless, and HCSS or related construction systems preferred but not required
  • 5 years’ experience in construction, engineering, or architectural

Compensation: Base salary to be determined; commensurate with the skill and experience level of the candidate. Access to full benefits, including 401 (k), medical, dental, vision, short-term, and long-term disability insurance.
