About the role:
The Project Coordinator is a project delivery support role designed to assist Project Managers in the successful execution of data center controls construction projects. This position provides administrative coordination, documentation management, schedule tracking, financial support, and cross-functional communication to ensure projects are executed efficiently and in accordance with company standards.
The Project Coordinator contributes to project success by maintaining documentation workflows, supporting cost and schedule tracking, coordinating vendors and field teams, and assisting with internal and client communication.
Key Responsibilities:
Project Coordination & Execution
- Support Project Managers in coordinating day-to-day execution of data centercontrolsprojects.
- Assistin updating project schedules, track milestones, andidentifypotential risks or delays.
- Coordinate internal teams, subcontractors, and vendors to supporttimelyproject delivery.
- Assistwith mobilization planning, site access documentation, and workforcelogistics.
- Support preparation of project status reports and internal dashboards.
Documentation & Controls
- Manage document control processes, including submittals, RFIs, change logs, drawings, contracts, and closeout documents.
- Maintainaccurateand organized project files in project management, accounting, and document systems.
- Track submittals and RFIs to ensuretimelyprocessing and follow-up.
- Prepare meeting agendas, capture minutes, and track follow-up actions.
- Update project management systems withcurrent statusnotes, documentation, and dependencies.
Client & Stakeholder Support
- Assist Project Managers with communication workflows and documentation required by clients.
- Support coordination between engineering, procurement, accounting, and field teams.
- Maintain action item logs and ensuretimelyfollow-through on assigned tasks.
- Assistwith budget tracking, cost coding, and invoice support.
- Track purchase orders, subcontractor pay applications, vendor invoices, and material receipts.
- Support preparation and tracking of change orders and associated documentation.
- Coordinate with accounting to ensureaccuratebilling and job cost reporting.
- Monitor committed costs versus budget and elevate discrepancies to the Project Manager.
Field & Closeout Support
- Track daily reports andassistin compiling project progress documentation.
- Support workforce planning documentation and field reporting processes.
- Assistin tracking punch-list items and project closeout requirements.
- Help assemble O&M manuals and closeout packages.
- Archive project recordsin accordance with company standards.
Qualifications:
Required
- 2+ years of project coordination or project administration experience in construction or related industries.
- Strong organizational skills with the ability to manage multiple projects simultaneously.
- High attention to detail and documentation accuracy.
- Proficiencywith Microsoft Office (Excelrequired).
- Experience with project management or accounting platforms.
Preferred
- Experience supporting MEP, controls, building automation, or data center construction projects.
- Associate’sorBachelor’s degree in Construction Management, Business, or related field.
- Basic understanding of construction financial processes including budgets, cost codes, and change orders.
- Experience with platforms such as Procore, Monday.com, Sage Intacct, Foundation, or similar systems.
Physical Requirements:
- Sit and/or stand for extended periods (typically 6-8 hours per day) while performing computer-based tasks and facility support tasks.
- Use hands and fingers tooperatestandard office equipment, including computers, keyboards, mice, telephones,scannersand printers.
- Occasionally stand, walk, bend, stoop, or reach to access filing cabinets, retrieve documents, or attend meetings.
- Lift, carry, push, or pull light objects and materials weighing up to 20-25 pounds (e.g., boxes of files or office supplies).
- Have sufficient vision (with or without correction) to read computer screens, printed documents, and small print; and sufficient hearing to communicate effectively by phone and in person.
- Work in a typical indoor office environment with moderate noise levels from office equipment, conversations, and occasional interruptions.
