Qualifications

  • Experience in heavy civil, grading, paving, concrete, or construction operations is preferred.
  • Familiarity with HCSS or similar construction management software is a plus.

Responsibilities

  • Provide administrative support to project managers, including document management, reporting assistance, and project file maintenance.
  • Assist with customer billings, collections support, and basic job cost documentation.
  • Track labor hours, equipment usage, production data, and supporting project records.
  • Process and maintain material invoices, subcontractor payables, purchase orders, and related documentation.
  • Support change order tracking and maintain organized project files and records.
  • Coordinate with field personnel to ensure accurate coding of labor, materials, equipment, and credit card charges.
  • Assist in scheduling grading, paving, and concrete crews and equipment in coordination with project managers and scheduling personnel to optimize labor, materials, and equipment utilization.
  • Maintain and enter data in operational systems including HCSS and other company software platforms.
  • Become familiar with all assigned projects and provide ongoing operational support as needed.

Position Summary

The Construction Operations Coordinator provides administrative, operational, and project support to ensure the efficient execution of construction projects and daily operations. This role works closely with project managers, field personnel, scheduling coordinators, accounting, human resources, and executive leadership to support project documentation, job costing, scheduling, compliance, equipment coordination, and operational reporting.

The ideal candidate is highly organized, detail-oriented, capable of managing multiple priorities, and comfortable working in a fast-paced construction environment.

Project & Operational Support

  • Provide administrative support to project managers, including document management, reporting assistance, and project file maintenance.
  • Assist with customer billings, collections support, and basic job cost documentation.
  • Track labor hours, equipment usage, production data, and supporting project records.
  • Process and maintain material invoices, subcontractor payables, purchase orders, and related documentation.

Compliance & Coordination

  • Study and maintain knowledge of local ordinances, construction regulations, permits, and related compliance requirements.
  • Assist with securing and maintaining required permits and documentation for assigned projects.
  • Support compliance with company safety policies, OSHA regulations, equal employment opportunity requirements, and affirmative action standards.
  • Work cooperatively with Human Resources and Risk Management departments to promote safety and compliance throughout operations.
  • Ensure supervisory personnel follow company procedures related to daily reporting, purchase orders, personnel documentation, and workflow processes.

Equipment & Operational Oversight

  • Monitor and coordinate maintenance and repair activities for assigned equipment.
  • Conduct ongoing evaluations of:
  • Material yields
  • Project schedules and planning
  • Equipment performance and operational needs
  • Job safety practices
  • Quality control measures
  • Security and loss prevention procedures
  • Review job cost information to help ensure operational efficiency and project performance.

Communication & Reporting

  • Confer regularly with direct supervisors regarding operational progress, challenges, and project needs.
  • Prepare and maintain reports, records, and operational documentation in a timely and accurate manner.
  • Perform additional duties as assigned by management or executive leadership.

Qualifications

Education & Experience

  • High school diploma or equivalent required; associate degree or construction-related education preferred.
  • 1-3 years of experience in construction administration, operations coordination, project support, or a related field preferred.
  • Experience in heavy civil, grading, paving, concrete, or construction operations is preferred.
  • Familiarity with HCSS or similar construction management software is a plus.

  • Ability to communicate effectively with office staff, field personnel, subcontractors, and management.
  • Proficient in Microsoft Office Suite and construction management systems.

  • Ability to handle confidential information professionally and discreetly.

This position regularly works with confidential information including job costs, wage and salary data, production schedules, and operational reports. Confidentiality and professionalism are required at all times.

Physical Requirements

  • Ability to stand, walk, stoop, kneel, crouch, and climb onto equipment as needed.
  • Ability to lift or move materials weighing up to 50 pounds occasionally.
  • Ability to work both in an office setting and in active construction environments.
  • Ability to communicate effectively verbally and in writing.Ability to identify equipment sounds or operational issues that may indicate mechanical concerns.

This position operates in both office and field environments and may require exposure to varying weather conditions, construction equipment, noise, dust, and active job sites.
