Job summary

CoVolt Power in Murphysboro, IL is seeking an experienced Administrative Assistant to support our Construction Manager in planning, coordinating, and executing large-scale projects. You will help manage project plans, budgets, schedules, documentation, meetings, and field coordination with subcontractors and vendors, ensuring safety, accuracy, and timely reporting.

Ideal candidates will be detail-oriented, proficient with PM software, and able to thrive in a fast-paced environment outdoors

Qualifications

  • Bachelor's degree in construction management, civil engineering, electrical engineering, or related field
  • 3–5 years construction management experience on large commercial/industrial projects
  • Strong written and verbal communication and documentation skills
  • Proficiency in project coordination, scheduling, budgeting, and procurement
  • Ability to read plans and drawings and ensure compliance with specifications
  • Outdoor work in variable weather and safety-conscious behavior

Responsibilities

  • Provide comprehensive administrative support to the Construction Manager in planning, coordination, and execution of projects
  • Assist in development and review of project plans, budgets, and schedules
  • Coordinate project documentation including contracts, permits, drawings, and specs
  • Track progress, milestones, and deliverables; report to stakeholders
  • Monitor budgets, expenses, and procurement to ensure cost-effectiveness
  • Coordinate project meetings; prepare agendas and minutes; ensure effective communication
  • Support subcontractors, suppliers, and vendors; ensure timely delivery of materials
  • Assist site visits and inspections for quality control and safety compliance
  • Facilitate information flow among project team, clients, and contractors
  • Prepare project reports, presentations, and documentation; ensure timely submission
  • Support issue resolution with Construction Manager; implement solutions
  • Stay updated on industry trends and best practices

Education

Bachelor's degree or related field

  • Excellent communication skills, both verbal and written, with the ability to effectively interact with diverse stakeholders.
  • Strong attention to detail and accuracy in handling project documentation, contracts, and other project-related information.
  • Proficiency in using project management software, spreadsheets, and other tools to track project progress and maintain project documentation.
  • Ability to analyze and interpret project plans, drawings, and specifications to ensure compliance and quality control.
  • Strong problem-solving and critical-thinking skills, with the ability to proactively identify issues and propose solutions.
  • Collaboration and teamwork abilities, with the capacity to work effectively in a fast-paced, deadline-driven environment.
  • Flexibility and adaptability to handle changing priorities and project requirements.
  • Knowledge of construction procurement processes and the ability to assist in coordinating subcontractor and vendor activities.

  • This position requires working outdoors in various, often extreme weather conditions including rain, snow, heat, cold, etc.
    • Candidates must be able to work in all weather conditions, as safety permits.
    • This position may also include exposure to loud noises, dust, debris, and other construction-related hazards.
Education/Experience
  • Bachelor's degree in construction management, civil engineering, electrical engineering, or a related area, or equivalent experience.
  • Minimum 3-5 years construction management experience on large commercial/multi-disciplined/industrial, utility, solar, or wind energy projects.
