Aquifer, asmall entrepreneurial company leading provider of SaaS-based online medical education serving medical, nursing, and PA students is seeking a strategic and detail-oriented Manager of Finance and Administration to lead our finance, accounting, and administrative operations.
The Consortium Operations Specialist provides crucial support for Aquifer's network of 200+ health professions educators. This position assists with managing Consortium activities while supporting curriculum development processes. Reporting to the Manager, Consortium and Partnership Operations, this role supports all Consortium operations, acts as the key liaison for all integrated curriculum development activities and maintains effective communication across a complex integrated infrastructure of volunteer educators. While primarily a remote position, this position requires in-person responsibilities and travel at the discretion of the Chief Learning Officer and Manager.

Key Responsibilities
Consortium Operations Support
- Coordinate and attend all monthly remote working meetings and activities for Consortium Course Boards, cross-Board teams and affinity groups; maintain meeting attendance and volunteer satisfaction tracking systems and provide monthly progress reporting.
- Onboard new Consortium members, including access and use of the Aqueduct content authoring and editing software.
- Support development and distribution of Consortium newsletters and updates
Event Coordination
- Manage schedules, travel arrangements and expense reporting for Aquifer staff attending national meetings, and for Aquifer staff and Consortium member attendance at Wellspring.
- Coordinate Aquifer's presence at national health professions education conferences, including packing and shipping/receiving the exhibit booth and marketing materials.
- Coordinate logistics for all Consortium national meetings and events, including agenda development, scheduling, catering & room reservations, and follow-up.
- Support the Chief Learning Officer and Manager, Consortium and Partnership Operations in all aspects of planning and execution of Wellspring, Aquifer's Annual Meeting.
- Attend remote events, as required, to set up and assist in facilitating Consortium meetings and support Aquifer booth activities.
Administrative Support
- Develop, implement, maintain and continuously improve Consortium Operations SOPs, leveraging AI and other tools as appropriate.
- Provide detailed expense tracking for all Consortium and national partnership activities, conferences and events.
- Track and report Consortium operations and feedback and metrics reporting to the Manager of Consortium and Partnership Operations
- Maintain detailed and accurate records of Consortium membership, contacts, and contracts.
- Collaborate with Aquifer staff accountant to process Consortium contracts and honoraria, and other required administrative documentation.
- Manage the Chief Learning Officer's calendar, communications, and administrative needs
- Support Consortium-related projects as required.
Qualifications
- Bachelor's degree required; degree in education, health care administration, or related field preferred
- 2-4 years of experience in program coordination, preferably in higher education or health care
- Strong organizational, project management, and time management skills
- Excellent communication and interpersonal abilities
- Proficiency with Google Suite, virtual meeting platforms (e.g., Zoom), Customer Relationship Management platforms (e.g., HubSpot) and project management (e.g., Monday, Asana) tools
- Ability to work effectively with subject matter experts and diverse stakeholders
- Detail-oriented with the ability to multitask in a dynamic environment
