Job summary

Live! Casino & Hotel in Maryland seeks an experienced events coordinator to assist Sales & Operations in delivering exceptional group experiences. You will coordinate conferences, including food and beverage, AV, room blocks, and guest services, while managing billing and post-event activities.

The role requires at least 2 years in event management or related hospitality fields, a high school diploma, and flexibility for evenings, weekends, and holidays. Competitive benefits offered.

Qualifications

• Education: High School graduate or equivalent.
• Experience: Minimum 2 years event management, food industry or hotel experience preferred.
• Must be able to obtain and maintain the Maryland license as mandated by the Maryland Lottery and Gaming Control Agency.

Responsibilities

• Coordinate conference details including food & beverage, AV, room type allocation, and guest amenities.
• Serve as sole contact for assigned groups and manage final headcounts and billing.
• Upsell services (food & beverage, AV, and hotel) and optimize room charges.
• Prepare group resumes and review all details in BEOs; conduct site inspections and client presentations.
• Support event operations in coordination with banquet and hotel services and with outside vendors.
• Assist in re-booking repeat business and ensure timely post-event follow-ups.

Overview

Assist Sales & Operations in obtaining customer satisfaction by leading event and group servicing management. Coordinate all aspects of conferences to include but not limited to: food and beverage requirements, timing of events, audio-visual requirements, special attention to guests, room type allocation, rooming list, amenities, function room set up, group transportation, type of check in, check out, special meal requests, arrival/departure manifests, bag pulls, luggage storage, complimentary rooms, billing instructions, authorized signatures, room deliveries, telephone and internet requirements, box storage and delivery, power requirements, key requirements, expected food and beverage outlet usage, group hospitality/office/registration desk requirements, business center requirements, entertainment, leisure activities, décor.

Responsibilities

Where You'll Make an Impact:

• Ensure all functions have secured sufficient payment based on standard method of payment SOP
• Send all after event receipts and final billing to clients.
• Serve as sole contact for assigned definite groups
• Call for all final headcounts and upselling opportunities.
• Optimize room rental charges and effectively upsell food and beverage, audio visual, and hotel services
• Monitor group room blocks and pick up, generate detailed resumes for the operating departments.
• Conduct hotel site inspections and client presentations as needed
• Consistently participate in the re-booking of repeat business
• Prepare resumes for groups prior to group arrival and review all details in BEO Meeting
• Adhere to selling policies as set forth by leadership
• Participate in all meetings as directed by leadership
• Provide innovative set-ups, menus, and functions for groups. Ability to generate creative and innovative menus while working closely with Chef on pricing specialty menus
• Work closely with banquet department on operations and event execution, ability to quickly evaluate alternatives and decide on a plan of action
• Provide overall direction, coordination, and ongoing evaluation of operations. Detailed execution of all banquet event orders
• Ability to work with outside vendors to ensure client satisfaction for all events/groups
• Remain available to hotel managers while on property
