Job summary

Valencia Group Hospitality is seeking a Catering & Conference Services Manager for our San Antonio properties. You will manage client events, coordinate conferencing services, and lead cross-department collaboration to exceed revenue goals.

The role requires 2–3 years in a full-service hotel setting, a Bachelor’s degree is a plus, and strong communication and organizational skills. Hospitality leadership experience is valued for this exempt position.

JOB SUMMARY

This is an exempt position. Employees in this role are expected to perform the duties and responsibilities assigned to them and are not compensated based on hours worked. Due to the nature of the position, work schedules may vary, and the role may require working more than 40 hours in a workweek and/or more than 8 hours in a day as necessary to meet business needs, including evenings, weekends, or peak operational periods. Candidates applying for management positions are expected to possess the professional knowledge, leadership capabilities, and functional expertise required to perform the essential duties of the role. While onboarding will be provided to familiarize successful candidates with Company-specific systems, processes, and culture, management hires are expected to bring with them the core competencies necessary to lead, make decisions, and achieve results within their area of responsibility.

Responsible for servicing and executing Group room contracts, entertaining and maintaining relationships with existing accounts to meet and/or exceed food and beverage revenue goals. ESSENTIAL DUTIES & FUNCTIONS
Operational Responsibilities
  • Planning and oversee client meetings and functions to ensure customer satisfaction.
  • Provide conference services for most in-house groups, conferences and meetings.
  • Work with other departments within the hotel to provide quality service.

  • Achieve budgeted revenues and expenses and maximize profitability related to the sales department.
  • Maintain correct procedures for credit control, financial transactions, and security of financial assets.
  • Promptly respond to and resolve client requests, complaints, or questions in a courteous and timely manner.
  • Any other duties as assigned by an immediate supervisor.
Knowledge and Skills:
  • Excellent written, spoken, and presentation skills. Additional language ability, a plus.
  • Must have comprehensive knowledge applicable Federal, state, and local health, safety, and legal regulations.
  • Be fully knowledgeable of the capabilities and limitations of the hotel and departments that may impact sales strategies.
  • Must have exceptional mathematical and computer skills.
  • Must be able to work a flexible schedule including nights, holidays, and weekends, as needed.
  • Delphi systems knowledge preferred.

Guest Services
  • Respond to guest inquiries, requests, concerns in a timely manner
  • Investigate and resolve any service issues properly addressing both internally recovering the guest as appropriate.
  • Make and receive calls regarding guest experience to ensure guest satisfaction.
Team Support and Training
  • Always be available to assist other departments as needed
  • Attend and complete company-mandated training
  • Attend and participate in company-organized training
Communication and Reporting
  • Site Inspection Communication, Monthly Forecasts, Weekly Solicitation and Activity Reports
  • Provide and communicate detailed BEOs and Resumes (and updates) to ensure all departments are prepared to meet guests’ expectations.
  • Attend Daily Stand up and BEO meetings and communicate answers to any questions in a timely
  • Review and respond to emails effectively without delay
Safety & Compliance
  • Comply with Valencia Hotel Group (and its affiliates) standards and regulations to encourage safe and efficient hotel operations.
  • Report unsafe conditions
  • Ensure to complete all required certification, harassment, and safety and security training
  • Report any incidents and create an incident report on the same day
BASICS
  • Maintain cleanliness and organization in all work areas
  • Display courteous behavior with guests and team members
  • Report any unsafe conditions immediately
  • Ensure hotel equipment is in proper working condition
  • Perform any additional duties assigned by the supervisor
Physical Requirements

Sitting: Frequently- Padded office chair, chair with back for breaks and meal periods. Completing required paperwork, answering emails, various other computer driven tasks.

Standing/Walking: Frequently to include walking approximately one block to/from hotel location. Typing, Viewing monitors, Writing, Reading

Lifting/Carrying: typically, less than 15lbs; occasionally lifting and carrying

Other Physical Requirements: handling/ grasping paperwork; phone and computer device usage frequently

Working Environment

Interior: Indoor office setting and interior of all areas of the hotel; All guest and back of the house areas to include walking on carpet/ tile, hard wood flooring, concrete, stairs, elevator usage and back of house areas to include walking though the kitchen area on occasion.

Exterior: Exposure to weather conditions and elements also to include walking on tile and concrete, stair usage, elevator usage.

Qualifications
CANDIDATE PROFILE
  • 2 Years of Catering or Conference Services Experience
  • Bachelor’s degree is a plus. High school education and relevant training and experience required.
  • Previous sales or Conference Services experience, Food and Beverage knowledge, detail oriented and highly organized.
  • The purpose of the Catering & Conference Services Manager is to assist in assuring the overall success of the hotel by meeting or exceeding the company’s expectations for top line revenue.
