NACo is seeking a Conferences Registrar and Generalist to lead end-to-end registration for our conferences, meetings, and events, ensuring exceptional attendee experience and streamlined internal processes.

The role blends registration management with planning responsibilities for selecting meetings, coordinating with internal teams, and managing vendors to elevate event quality. Remote/hybrid work is eligible.

Qualifications

  • Minimum of three (3) years of experience in conference registration or event management.
  • Proficiency in Microsoft Office 365; experience with membership platforms or CRM/association management systems preferred.
  • Exceptional customer service, communication, interpersonal, analytical, problem-solving, and organizational skills.

Responsibilities

  • Oversee and execute registration processes for NACo’s conferences, meetings, and events, managing multiple projects and serving as the lead point of contact for internal departments.
  • Administer and maintain NACo’s registration systems; analyze registration data for planning, budgeting, post-event reporting, data security, and process improvement.
  • Coordinate and reconcile registration-related financial transactions with the Finance Department; track expenses, monitor budgets, process payments, and submit invoices.
  • Oversee on-site registration operations, including staffing, materials, technology, attendee services, badge fulfillment, and logistics; supervise volunteers and vendors; resolve registrant issues within 24 hours.
  • Assist the conference team with sourcing venues, catering, transportation, and local services; manage contracts and vendor relationships; support day-of logistics at NACo-NLC Conference Center.
  • Maintain files and conference supply inventories; coordinate shipping with vendors; manage cross-departmental asset requests.
  • Collaborate with Communications to manage event-related graphic assets and registration emails.

Salary Range: $62,500.00 To $72,500.00 Annually


About the Position: The National Association of Counties (NACo) seeks a highly organized, experienced, and customer-focused professional to serve as Conferences Registrar and Generalist. Reporting to the Director of Conferences, this individual will manage end-to-end registration operations and logistics for NACo’s portfolio of conferences, meetings, and events, ensuring exceptional attendee experience and streamlined internal processes. This role blends advanced registration management with planning responsibilities for selecting smaller meetings and events. The successful candidate will demonstrate strong leadership, attention to detail, and the ability to collaborate effectively with internal departments, external vendors, and event partners to elevate NACo’s event experience and operational excellence.


Key Responsibilities:



  • Oversee and execute registration processes for NACo’s conferences, meetings, and events, managing multiple projects simultaneously and ensuring accuracy and efficiency; serve as the lead point of contact for internal departments with registration needs and provide guidance on structure, pricing, and attendee communication.

  • Administer and maintain NACo’s registration systems with membership platforms; manage and analyze registration data for strategic planning, budgeting, post-event reporting, data security, and process improvement.

  • Coordinate and reconcile registration-related financial transactions with the Finance Department; track expenses, monitor budgets, process payments, and submit invoices related to registration and event logistics.

  • Oversee on-site registration operations, including staffing, materials, technology, attendee services, badge fulfillment, and logistics; supervise county volunteers, temporary personnel, and third-party vendors; provide timely registrant issue resolution and manage Conference and Meetings inboxes and phone inquiries within 24 business hours.

  • Assist the conference team with sourcing and securing venues, catering, transportation, and local services; manage contracts and vendor relationships; when necessary, support planning and day-of logistics for events held in the NACo-NLC Conference Center.

  • Maintain files and conference supply inventories, including ribbon and gavel orders cross departmentally.

  • Coordinate shipping and freight distribution with various shipping vendors and decorators.

  • Collaborate with the Communications team to request and manage event-related graphic assets when necessary and related to registration emails.


Qualifications:



  • Minimum of three (3) years of experience in conference registration or event management.

  • Proficiency in Microsoft Office 365; experience with Microsoft MemberCast, D365, or CRM/association management systems preferred; experience with Airtable, Cvent, ESHOW, or other event platforms.

  • Exceptional customer service, communication, interpersonal, analytical, problem-solving, and organizational skills; ability to manage multiple projects and priorities in a fast-paced environment; team-oriented, proactive, diplomatic, professional, and solutions-oriented.


Preferred Attributes:



  • Association or hotel industry experience; experience working in project management databases such as Microsoft Teams and Planner.

  • Ability to lift and carry up to 30 lbs. of materials and willingness to work occasional evenings, early mornings, and weekends based on event needs.


Location and Travel: This position is eligible for remote and/or hybrid work, with travel for NACo conferences, meetings, and partner engagements.


Salary Range:$62,500-$72,500 commensurate with experience
