Job summary

Georgia State University College of Law invites applications for the Conference and Program Services Coordinator position at the Knowles Conference Center. The role supports planning and promotion of internal events for the College of Law's departments, centers, students, faculty and staff.

The coordinator reports to the Associate Director of the Conference Center and may work Tue–Sat, 8:30 AM–5:15 PM. Responsibilities include event management, customer service, logistics coordination, and

  • Coordinate administrative services and event management services within the College.
  • Pre-event walk-throughs and post-event follow-ups to determine adequacy of services provided.

The College of Law is seeking (1) Conference and Program ServicesCoordinator to join the already awesome team taking the departmentto the next level of excellence!

The coordinator supports the College of Law departments, centers,students, faculty and staff for planning and promoting internalevents.

This position reports to the Associate Director of the ConferenceCenter.

HERE IS WHAT YOU WILL DO
  • Interact consistently with COL faculty, staff, students,guests, event attendees, facilities staff, vendors, and cateringstaff. Position may advise and counsel COL marketing management,event management, students, and event attendees
  • Position may have flexible hours to accommodate evening andweekend events, as needed.
  • Schedule will be Tuesday – Saturday, 8:30am – 5:15pm
  • Physical requirements to include standing/walking/bending forextended periods of time, and the ability to lift up to 50lbs.
  • Perform administrative support duties as needed, and provideprompt and informed responses to customer inquiries.
  • Skills in event management, customer service, organizing,planning, and scheduling.
  • Services provided include event consultation and planning,arranging for technology support, coordinating food arrangementsand attendee assistance. Events managed range in size andcomplexity from small meetings to large-scale building-wideevents.
  • Establish and maintain a good relationship with students,faculty, staff, vendors, etc.
SPECIFIC JOB DUTIES
  • Support event planning, coordination, and preparation toinclude catering orders, assisting in the registration process,promotional material distribution, etc.
  • Coordinates event design and menu planning for smaller,reoccurring annual events, and assists with event planning forlarger, College of Law Signature events.
  • Assist with developing event programs and agendas. Work withprogram and event staff to determine catering needs.
  • Ensure adherence to planned format/setup, compliance withregulations. Maintain strong knowledge of various types of setupsand the compatibilities of spaces. Coordinates the setup with thecaterer and Event Planner II for scheduled events.
  • Ensure all meeting spaces and rooms are kept in a clean andorderly manner.
  • Pre-event walk-throughs and post-event follow-ups to determineadequacy of services provided in support of the event.
  • Oversee event happenings and act quickly to resolveproblems.
  • Manages parking requests for entire college. Works with clientsto reserve V-lot parking spaces, provide direction and maps, andliaise with front desk and facilities teams to ensure guests arriveand retrieve parking validation in a seamless manner.
  • Provide regular updates to Conference Center staff on upcomingevents.
  • Coordinate logistics for internal COL events for studentorganizations and COL educational centers.
  • Coordinate administrative services and event managementservices within the College.
  • Tues – Sat 8:30-5-15, may include evening events asneeded.
Qualifications

Minimum Hiring Qualifications:

Bachelor's degree and four years of related experience; or acombination of education and related experience.
