The Conference Center Setup & Logistics Coordinator at Compass Group USA coordinates the setup and breakdown of conference rooms, meeting spaces, and events to deliver a top‑notch workplace experience.   • Conduct pre-event inspections to ensure spaces are clean, safe, and presentation-ready.
  • Perform post-event breakdowns and handle furniture and equipment safely.
  • Coordinate with facilities, janitorial, security, catering, and AV teams for seamless execution.

Job Summary

The Conference Center Setup & Logistics Coordinator is responsible for the successful setup and breakdown of conference rooms, meeting spaces, and special events. This role plays a critical part in delivering an exceptional workplace and meeting experience by ensuring event spaces are prepared according to client specifications, company standards, and safety requirements. Working closely with conference services, facilities, janitorial, catering, audio visual, outside vendors, and clients, the Conference Center Setup & Logistics Coordinator supports seamless event execution from planning through post-event breakdown. This position requires strong organizational skills, attention to detail, excellent customer service, and the ability to adapt quickly to changing business needs. This is a physically active role requiring frequent standing, walking, bending, lifting, and moving furniture and equipment throughout the day.

Key Responsibilities
  • Set up, reconfigure, and breakdown meeting rooms and event spaces according to client requests, floor plans, and industry standards
  • Conduct pre-event inspections and ensure meeting spaces are clean, safe, functional, and presentation-ready with all requested items
  • Perform post-event breakdowns, including the safe handling, storage, and movement of tables, chairs, staging, podiums, and other event furniture
  • Partner with campus facilities, janitorial, security, catering, and audio-visual teams to ensure seamless event execution and timely resolution of service requests
  • Conduct inventory for conference room furniture, equipment, and event assets, including storing and organizing
  • Monitor the condition of furniture, fixtures & equipment, reporting maintenance, repair, or replacement needs as necessary
  • Conduct routine quality assurance inspections to ensure conference rooms and common areas meet safety, operational, and client standards
  • Support special projects, respond to urgent operational needs, and perform other duties as assigned while offering excellent customer service
Desired Qualifications
  • High school diploma, GED, or equivalent
  • Experience in conference services, event operations, hospitality, or facility operations
  • Ability to safely lift, carry, push, and pull up to 50 pounds on a regular basis
  • Ability to frequently stand, walk, bend, squat, kneel, stoop, and perform physical tasks throughout the workday
  • Strong organizational, time-management, and multitasking skills
  • Professional communication and interpersonal skills
  • Ability to work independently while collaborating effectively with multiple teams.
  • Experience working in a fast‑paced, customer-facing environment
  • Dependable, punctual, and customer focused.
  • Knowledge of meeting room setups & layouts, event logistics, and workplace safety practices.
